Mailroom Services Specialist


JOB SUMMARY:
Lasell University is seeking a Mailroom Services Specialist. The Mailroom Services Specialist is responsible for coordinating all functions of the Lasell University Mail Room. This is a full-time, 12-month position reporting to the Assistant Director of Events and Auxiliary Services.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
The statements below are intended to describe the principal duties of the person or persons assigned to this job. They are not intended to be an exhaustive list of all job duties and responsibilities. Lasell University has the right to add or change the job responsibilities at any time.
  • Sorts, distributes, and delivers incoming/outgoing mail and packages for students, faculty, and staff.
  • Assists with putting mail into envelopes for the delivery route.
  • Delivers mail on foot and or via use of University provided vehicle to Lasell offices and buildings according to schedule. Mail and package delivery requires delivering to 15+ free standing buildings and occasionally delivery in inclement weather.
  • Provides superior customer service to the entire Lasell community.
  • Delivers all University mail to USPS daily using University-provided vehicle.
  • Tracks and records the volume of all incoming/outgoing mail and packages.
  • Meters all outgoing U.S. Postal mail and international mail. Handles all carrier packages incoming/outgoing for USPS., Fed Ex, and UPS.
  • Establishes and maintains professional rapport/working relationship with students, staff, and faculty, as well as various carriers.
  • Maintains inventory of postal supplies for internal departments.
  • Repairs/maintains mailboxes.
  • Organizes the mailboxes each semester for new resident students.
  • Utilizes/Supports Pitney Bowes equipment, including postage meter, tracking software, etc.
  • Communicates with all levels of the organization and works closely with students, staff, and faculty both at the counter, over the phone and through e-mail.
  • Advises others of postal options, interprets mailing procedures, and resolves mailroom matters.
  • Ability to reach, carry and lift boxes of mail weighing up to 50 pounds.
  • Assist Conference & Event Services as Mailroom responsibilities allow during the summer months.
  • Other tasks as assigned.

Tier Structure
This is a Tier 1 - fully on-campus position, requiring daily in-person interactions with students and other departments.

Supervisory Responsibility: Collaborates with Conference and Event Services Coordinator to schedule and supervise student workers

MINIMUM KNOWLEDGE AND SKILLS REQUIRED BY THE JOB:
Minimum Education level: High school diploma is required; Bachelor's degree preferred.
  • Computer skills: Prior experience with postal services and Pitney Bowes processor preferred but not necessary.
  • Other Requirements of the Job:
    • Strong communication and organizational skills.
    • Strong sense of professionalism, time management and attention to detail are also required.
    • Prior postal experience is preferred, but not necessary.
  • Lead team of student workers to achieve daily tasks; ability to work as a team to accomplish goals

CERTIFICATION, REGISTRATION OR LICENSURE REQUIRED BY THE JOB:
  • Valid driver's license and a driving record with no surcharge events for the past three (3) years are required to drive University-owned vehicle.
