Job Summary

The Lazarus Center for Career Development at Smith College supports students and graduates as they connect their liberal arts study to their career goals.

At the direction of the Communications Manager, the Digital Engagement and Operations Coordinator furthers this mission by supporting digital engagement through Smith Career Connect, social media, regular campus email communications, and other department platforms for scaled student engagement. Additionally, this position supports the regular operations of the department by compiling, organizing and disseminating internal documents, supporting hybrid meeting setups for department meetings, facilitating welcoming and accessible common spaces, and providing backup support for internal systems and processes.

As a member of the Lazarus Center staff, the Digital Engagement and Operations Coordinator also participates in any cross departmental efforts or initiatives established by center leadership and is expected to take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Essential Functions

Digital Engagement Support 50%:
  • At the direction of the Communications Manager, make regular edits to the website including event updates, minor edits, and other small changes as needed.
  • Assist in producing weekly and bi-weekly outreach emails sent by the Lazarus Center.
  • Manage the Career Connect email by responding to questions, comments, and concerns from users. Coordinate with ARD when needed on one-on-one communications with alums.
  • Assist in facilitating and monitoring Career Connect Groups
  • Monitor Career Connect messaging and provide follow-up where needed for alum and student responses
  • Post department events to Handshake
  • Draft social media posts based on pre-designed templates, and coordinate posting schedule


Operations Support 25%:
  • Support department-wide systems impacting student workers including, but not limited to, Workday job postings, department-wide student employee calendar and work schedule, and student documents.
  • At the direction of the Director of Operations, assist in preparation and drafting of policy and procedure documentation.
  • Compile and organize department guides and resources to facilitate easy access by Lazarus Staff.
  • Prepare agendas for Lazarus full staff meetings. Take notes at meetings and ensure department-wide access to meeting resources
  • Be familiar with, and provide departmental support when needed for, Lazarus Center hybrid meeting tools and setup.
  • Monitor department inventory of regular supplies (paper, pens, tissues, etc.), replace and restock as needed for both Drew and Clark Hall.
  • Monitor all Drew and Clark facilities to ensure spaces are clean and furniture returned to as-is setups.
  • Monitor department space use and address conflicts as needed.


Reception Support 20%:
  • Staff the reception desk from 9am - 11am, backup for other times as needed
  • Facilitate the smooth operation of the reception area, creating a welcoming, inclusive, and professional environment for visitors to the center
  • Check students in for appointments and coordinate with advisors as needed
  • Answer incoming phone calls and make referrals as needed
  • Respond to email inquiries to the Lazarus Center account and maintain an up-to-date portfolio of template responses to common questions
  • Checkout items for the Suit Yourself program and Lazarus Library, including management of inventory and adherence to program policy, in coordination with the student worker team
  • Assist in general office duties, on an as-needed basis.


Other Functions 5%:
  • Seek out professional development opportunities that enhance the skillset needed within the position.
  • Provide support for and participate in Lazarus projects and initiatives as needed.
  • Provide backup support for department systems including Airtable, Salesforce, 25Live, Catertrax, Workday, Touchnet, Princeton Review, Lazarus general email and others as relevant.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)
  • A highschool diploma and 2-3 years of digital engagement and operations experience or any equivalent combination of experience, training, and/or education.
  • Experience working with individuals from diverse backgrounds.


Preferred Qualifications
  • Proven ability with customer service and support
  • Experience in an office setting
  • Experience managing social media platforms in a professional setting including Instagram, Facebook, and LinkedIn
  • Ability to use Airtable to create and/or manage workflows and support project management
  • Experience monitoring and updating web content and an understanding of accessibility standards
  • Ability to multitask and prioritize work effectively.


Skills

Detail orientated, comfort learning and engaging with new systems and platforms, strong written and verbal communication. Strong computer skills, word processing, Google software (Docs, Sheets, Forms) and Microsoft Office suite software. Skill in Adobe Creative Suite and Drupal preferred
