About the Position:

The Office of Student Transitions Services helps ease the challenge of navigating a University or College campus, giving all Titans a chance to succeed in their higher education career the moment that they set foot on the Cal State Fullerton campus. An essential component of securing new Titans, the professionals within Student Transitions lead the efforts of Outreach, Recruitment and Orientation, Admissions and Records, financial aid services and community educational outreach at local high schools. We seek an exceptional individual to join our team as the Department Coordinator (Administrative Support Coordinator II). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under general direction from department leadership, the Department Coordinator (Administrative Support Coordinator II) for the Office of Outreach, Recruitment, and Titan Orientation Programs is responsible for providing high-level support to students, faculty, staff, and community members. Plans initiates, executes, and coordinates complex projects, large-scale campus events, and departmental activities with accountability for results. Evaluates and provides recommendations related to operational and procedural matters including professional and student staff hiring and payroll, travel, and budgeting. Uses knowledge of specialized policies and procedures to complete assignments. Responds to customers via email, telephone, and in-person. Uses a variety of office support technology and systems such as word processing and spreadsheet packages to complete assignments. Coordinates and schedules all aspects of meetings and events for the director and the team as needed. Independently addresses a wide range of work unit problems which require interpreting university policies and procedures and using ingenuity to put information together in new ways. Coordinates and works with individuals at all levels, internal and external to Cal State Fullerton (CSUF), in a thoughtful and welcoming manner. Responsible for completing multiple projects and priorities simultaneously. Provides lead work direction, training, and guidance to student staff. Other duties as assigned.


Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Bachelors degree from an accredited four-year college and the ability to problem solve and coordinate activities in a fast-paced environment. Demonstrated ability to work with a diverse community. Ability to function effectively as part of a high-performance team. Ability to de-escalate irate guests and identify solutions. Several years of related office work experience.
