In compliance with SB 1162, Western University of Health Sciences is providing a pay scale for this position. The pay scale reflects the minimum and maximum target for new hire salaries for this position. Within this range, the individual pay is determined by a variety of factors, including but not limited to job-related skills, experience, relevant education or training, and work location. Please note that the compensation details listed reflects the base salary only.

Job Summary
Position provides leadership and analytical expertise to the Office of Operations, for the College of Osteopathic Medicine of the Pacific (COMP), the College of Osteopathic Medicine of the Pacific-Northwest (COMP-Northwest) and the College of Podiatric Medicine (CPM). Position will be relied on to provide accurate data and lead the execution of various short-, medium- and long-term projects as deemed necessary to carry out the mission of the Colleges and the University.

Position works under the direction of the Senior Director of Operations, COMP/COMP-Northwest and the Senior Director of Operations, COMP/CPM to oversee the day-to-day business operations of the two assigned colleges including the oversight of assigned staff resources.

  1. Ability to work collaboratively and cooperatively with diverse units and personalities within the college, across the University and with external stakeholders. Ability to provide high quality customer service; maintain professional communication with faculty, campus administrators and industry representatives by providing regular status updates.
  2. Ability to maintain confidentiality is essential.
  3. Ability to handle detail-oriented assignments with accuracy and consistency, with minimal supervision. Ability to work independently under pressure and know when to seek support from supervisor.
  4. Must be organized and independently motivated with the ability to set priorities and meet deadlines. Ability to prioritize multiple projects and assignments simultaneously.
  5. Must be able to work in a fast-paced environment and be flexible in job assignments in order to meet departmental and college priorities as well as emerging or unplanned initiatives.
  6. Must have excellent verbal and written communication skills. Must be able to interact with senior executives, college deans, faculty, staff and students in a highly responsible and professional manner. Ability to compose non-routine correspondence and create ad-hoc reports in an independent manner is essential.
  7. Excellent computer skills are necessary. Ability to use multiple computer programs as needed to accomplish essential job functions. Must be able to create and format documents in Word and PowerPoint. Advanced knowledge of Excel with the ability to create and manage complex spreadsheets is highly preferred.
  8. Must be able to organize, plan, direct, and make sound judgment decisions.
  9. Must be knowledgeable and proficient in the concepts of budget development and management.
  10. Must be familiar with basic contract language, terms, and clauses as well as clinical business terms and procedures.


Required Qualifications
Education: Any combination of education, training, or experience that provides the required knowledge, skills, and abilities: Bachelors degree required, Masters degree preferred.

Experience: 2 or more years of financial analysis, project coordination and leadership experience or equivalent experience.

Preferred Qualifications
Prior experience in an academic health science center highly preferred

Budget:

Under the direction of the Senior Directors of Operations, develops and monitors budgets for the College of Osteopathic Medicine of the Pacific, COMP-Northwest, and the College of Podiatric Medicine. Oversees the day-to-day operations of the Deans budget for assigned colleges and provides guidance and support to department budget managers when needed. Supports the Senior Directors of Operations with the budget development process for the colleges in preparation for each fiscal year. Plans departmental budget needs by analyzing program plans on both a short- and long-term basis including projecting possible levels of support from multiple sources of funding; confers with administration and faculty to analyze and recommend priorities and goals for future department needs. Oversees and/or creates, validates and implements financial and operational reports with support from supervisor. Assists in the preparation of budgets and financial reports for restricted and unrestricted designated funds. Reviews and monitors monthly Advancement reports and oversees and tracks deposits for the assigned colleges.

Supervises and trains assigned staff resources and completes performance appraisals. Oversees shared inboxes and distribution of assignments. Works with the Operations Associates to establish priorities, develop workflows and plan for process improvement.

Assists departments within the assigned colleges with various personnel actions including, but not limited to, the hiring process for faculty and staff, submitting position modifications and supervisor changes, building the faculty contracts at the start of each academic year and revising as needed mid-year, and assisting departments with faculty discretionary bonus forms.

Accreditation and Reporting:

Assists the Senior Directors of Operations in coordinating responses for various annual, mid-cycle and comprehensive reports for the colleges accrediting bodies as well as quarterly Board of Trustees reports. Supports the organizations efforts to maintain compliance with regulations and accreditation standards and monitors compliance through formal and informal processes.

Collaboration:

Engages in extensive public contact with external and internal stakeholders including community leaders, senior management, deans, faculty, and outside physicians. Serves as liaison to various University departments, including but not limited to: University Financial Services and Treasury, Purchasing, Information Technology, Human Resources, Facilities & Physical Plant.
