Job Description

The Office of International Programs seeks a highly organized and flexible professional to serve as Administrative & Fiscal Assistant for its busy office. This position performs work to assist the Director and Associate Director in administering services and a set of programs that provide support to faculty, staff and students.

As part of the Division of Undergraduate Academic Affairs, the mission of the Office of International Programs (OIP) is to prepare students for an increasingly interdependent and culturally diverse world. The office's aim is for students to engage in intellectually rigorous and personally transformative experiences that play an integral role in the teaching and learning that take place on campus. On an annual basis, the office sends more than 1,200 students abroad, where they can engage in study, internships, research, and/or service learning; hosts more than 200 international exchange students from partner institutions; organizes activities that promote internationalization of the University; and in coordination with the McGillycuddy-Logue Center for Undergraduate Global Studies, administers the Global Service and Justice Program. Essential Duties:

  • Coordinates the hiring, payroll process, and orientation for student employees
  • Coordinates office moves and technology upgrades
  • Coordinates staff vacation/illness time and coordinates office coverage
  • Maintains the OIP office calendar
  • Ensures current partner contact information in OIP database
  • Administers budget for office expenses, including reconciliation of budget on a monthly basis, processing expense reports and travel advances, and tracking office expenditures
  • Maintains proper organization of files and documents on OIP server
  • Works closely with others in daily operations and frequently communicates with high level administrators at Boston College and overseas contacts
  • Schedules appointments/meetings and drafts correspondences and memos per Director's request
  • Makes domestic/international travel arrangements and reservations, prepares trip itineraries
  • Facilitates ongoing OIP projects by coordinating student assistance and steps in as necessary
  • Coordinates events for staff meetings, student outreach, faculty outreach, OIP internal events, special events, and visitors
  • Performs other duties as assigned


Requirements

  • Bachelor's degree preferred
  • Minimum of 2 years of office/administrative support experience
  • Strong communication and organization skills
  • Proficiency with computer systems and office equipment
  • Attention to details with ability to handle multiple tasks
  • Excellent customer service skills
  • Ability to take initiative and work independently, carry out projects from start to end
  • Proactive approach to all matters
  • Ability to supervise student employees
  • Ability to problem solve and exercise good judgment
  • Budget management experience a plus
  • International experience a plus
  • Occasional work on weekends and evenings in connection with OIP events
