JOB DESCRIPTION SUMMARY
Assists the Head of the Chemical Engineering Department and/or senior administrative personnel with the execution of a wide variety of complex and often confidential clerical/administrative duties for Chemical Engineering faculty, students and other related personnel.

JOB DESCRIPTION

Responsibilities:
  • Performs clerical duties for the Department Head (and other Department faculty as appropriate) including scheduling appointments, coordinating meetings, screening telephone calls, sorting departmental mail and delegating to appropriate faculty or staff members.
  • Working with faculty and staff, prepares purchase orders and invoice requests using WPI's system
  • Maintains inventories and oversees ordering of office and laboratory supplies as appropriate.
  • Schedules, attends, records and composes minutes of meetings, when requested.
  • Provides clerical support to various committees and maintains working relationships with th
  • Chemical Engineering faculty and other collaborators.
  • Assists with maintenance and organization of the graduate student application database and provides direct support to the Graduate Committee, including attending all meetings and assisting with recruiting efforts.
  • Provides support for the Undergraduate Program activities including handing back exams and homework assignments, scheduling rooms for office hours, organizing MQP project presentation day and the senior BBQ and dinner. Arranges and schedules travel, meetings and conferences for department members and guests/visitors of the department.
  • Performs other duties as assigned.


Requirements:
  • High school or equivalent plus additional schooling with a minimum of 6 years experience.
  • Requires a knowledge and proficiency in word-processing, particularly Microsoft Office and modern office procedures.
  • Requires strong organizational skills and the ability to manage multiple priorities in a busy and sometimes demanding office atmosphere.
  • Requires strong people skills and the ability to work professionally and efficiently with a variety of different constituents (students, faculty, staff, administrators, alumni and corporate professionals).
  • Requires strong writing skills, including proofreading abilities for correct grammar, spelling and punctuation.
  • Requires dependability, confidentiality, independence and initiative.
  • Requires a positive attitude and good judgement.
