Position Announcement

Utah Valley University is seeking an Administrative Assistant. Under the general direction of the Architecture & Engineering Design Chair, the Administrative Assistant performs and/or oversees a variety of associated administrative, fiscal, staff support and planning activities, some of which require advanced or specialized knowledge and skills such as budget administration, facilities scheduling, inventory control, specialized recordkeeping, and/or specified information gathering projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events, as appropriate. Trains and oversees lower graded staff and/or students.

Summary of Responsibilities


  • Performs advanced and sometimes confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining information requiring knowledge of policies and procedures of both assigned and work related areas. Responsible for academic scheduling and activity/meeting planning and faculty workloads.
  • Coordinates the preparation and submission of reports, publications, and newsletters. Coordinates department financial functions, including timecards, ePAFs, eSAFs, new hire paperwork processing, requisitions, purchase orders, travel arrangements, index tracking and reconciliation, budget balances, etc.
  • Maintains inventory of office equipment and supplies. Performs other office duties as needed which may include supervision of office support. Establishes, updates and maintains unit's files, inventories, ordering, receiving, billing, distributing, and reconciliation expenditures. Potential gathering f data and analysis for various projects.
  • Greets students and guests to the department, assists with questions and inquiries. Orders and maintains department swag.
  • Performs other job related duties as assigned.


Minimum Qualifications

Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties; OR any combination of education and/or experience totaling four years.

Preferred Qualifications
Preference for those with knowledge related to the architecture and engineering fields. Skills in Banner9, eSAFs, eSAFs, People Admin and Wolverine Marketplace.

  • Knowledge of best practices in bookkeeping, scheduling, administrative support, events, marketing and communications.
  • Skills in the preparation and interpretation of reports, charts, graphs, academic scheduling, and creating requisitions and budgets.

  • Exceptional customer service and phone etiquette.
  • Skills in Microsoft Office Suite.
  • To plan and anticipate potential changes.
