What We Are Looking For

Baylor University is seeking a part-time Graduate Program Coordinator for the Materials Science and Engineering program. The Graduate Program Coordinator is an administrative and student-support professional who helps manage the day-to-day operations of a graduate program. The role serves as a link between graduate students, faculty, program leadership, and the Baylor Graduate School. The Graduate Program Coordinator often spends the day helping students and faculty navigate degree requirements, processing university forms, coordinating admissions and assistantships, and ensuring compliance with Graduate School policies.

Expected time commitments are 20 hours per week. The ideal candidate will be able to establish consistent work hour windows to allow for faculty and students to schedule visits during these hours.

A Bachelor's degree and one year of relevant work experience are required. A Bachelor's degree and three years of relevant experience are preferred.

A combination of education and work experience will be considered in lieu of the required degree and/or years of experience.

All applicants must be currently authorized to work in the United States on a full-time basis.

  • Comfort in communicating and establishing rapport in a professional manner across the following mediums: phone, email, video conference and in-person


  • Good judgment and excellent organizational, communication (oral and written), and interpersonal skills

What You Will Do


  • Manage graduate assistantships, stipends, payroll-related processes, and student funding matters


  • Maintain up-to-date student files and records; ensure confidentiality of pertinent information


  • Processing graduate school paperwork, petitions, degree-completion forms, enrollment changes, and academic records


  • Track student progress through degree audits and ensuring students meet program and Graduate School requirements.


  • Serve as initial contact for internal and external constituents regarding matters related to graduate programs


  • Coordinate admissions activities, monitoring applications, and responding to inquiries from prospective students


  • Organize orientations, examinations, thesis/dissertation presentations, and other program events


  • Support faculty with curriculum updates, catalog revisions, reports, scheduling, and accreditation-related documentation


  • Provide administrative support for activities related to graduate programs


  • Act as the primary point of contact for graduate students and faculty


  • Facilitate graduate programs planning and resources


  • Provide support for students and connect to Baylor resources as required, attend meetings with campus partners as needed. Support scholarship application to student accounts


  • Participate in committees as assigned


  • Contribute to and participate in events that support and celebrate program students

  • Perform all other duties as assigned to support Baylor's mission

  • Ability to comply with university policies

  • Maintain regular and punctual attendance
