Senior Coordinator of Registrar Services
Empire State University, Office of the Registrar, is currently seeking qualified applicants for the position of Senior Coordinator of Registrar Services. The Senior Coordinator plays a key role in supporting the administration and integrity of academic records, degree progress evaluation, and graduation processes for both undergraduate and graduate programs. This position is responsible for overseeing complex student record transactions, collaborating with academic departments on curriculum and program modifications, and contributing to process improvement initiatives and system optimization efforts. Through these activities, the Senior Coordinator helps ensure the accuracy, efficiency, and compliance of academic record management practices across the University.
Key Responsibilities
- Conduct graduation eligibility reviews and support the degree conferral process for undergraduate and graduate students, including complex cases such as individualized degree programs.
- Manage complex graduation scenarios including double majors, second bachelor's degrees, and special program structures.
- Support the development and implementation of graduation process improvements, including workflow optimization, reporting, and communication strategies.
- Conduct specialized academic reviews such as Early Childhood Education program reviews and subject-area core competency updates.
- Support compliance with institutional, accreditation, and regulatory requirements related to academic records and degree certification.
- Provide specialized records and degree audit oversight for designated populations such as CAHE, Nursing, partnership programs, and IBEW cohorts.
- Ensure accurate degree audit configuration, monitoring, and degree conferral for partnership and cohort-based programs.
Job Requirements:
Required Qualifications
- Bachelor's degree from an accredited institution.
- A minimum of one (1) year of experience in a college Registrar's Office or related academic administrative environment.
- Demonstrated experience working with student information systems (SIS) and degree audit tools (e.g., Ellucian Banner, DegreeWorks, or similar).
- Demonstrated ability to manage multiple processes, deadlines, and high-volume workflows with accuracy and attention to detail.
- Excellent written and verbal communication skills, with the ability to collaborate effectively with faculty, staff, and students.
- Strong organizational skills and ability to manage competing priorities in a fast-paced environment.
Preferred Qualifications
- Master's degree in higher education administration, educational leadership, or a related field.
- Experience with Ellucian Banner, DegreeWorks, or other Ellucian systems.
- Experience with degree audit configuration or maintenance.
- Experience supporting graduation processing and degree conferral workflows.
- Experience working with curriculum management processes and academic program changes.
Special Information
- This position is based at the University's primary location in Saratoga Springs, New York. Employees may be eligible for a part-time remote work arrangement, subject to supervisory and departmental approval and consistent with operational needs.
- Occasional travel may be required to fulfill department and university-wide commitments.

Additional Information:
Rank/Salary: Senior Staff Assistant, SL3 / $58,000-$60,000, dependent on experience and qualifications.
