Building Services Coordinator

Job Summary

The Building Services Coordinator is responsible for multiple functions in the division, ensuring effective day-to-day operations in the library in the areas of building services and emergency response. This position will also be responsible for coordinating with the campus on maintenance and repairs at the J. Willard Marriott Library, a building of more than 500,000 square feet. This position serves as the primary contact for the maintenance and inventory of library furnishings and equipment. It also coordinates repairs and maintenance activities that are outside the scope of University Facilities Management. Working collaboratively, the position will support the library through capital construction project management and large-project support when collections and study spaces are impacted. This position is required to work on campus full-time. Telecommuting will only be authorized for occasional/exceptional circumstances.

Responsibilities
  • Serves as the primary contact for campus work orders related to corrective maintenance and acts as the liaison to the District MEP team.
  • Coordinates maintenance and preventive maintenance (PM) activities for the Automated Retrieval Center (ARC) system in collaboration with the Associate Director of Building Services.
  • Coordinates the annual integrated pest management contract, including scheduling services, processing renewals, and maintaining required reports.
  • Monitors library surfaces for appearance, cleanliness, and repairs as necessary.
  • Supervises part-time staff and maintenance checklists.
  • Manages the Library's Building Services E-Ticket system, including coordination of office moves, general maintenance requests, key issuance, phone transfers, and nameplate updates.
  • Oversees the library's sanitation program, including inventory and restocking of wipe and hand sanitizer stations.
  • Manages library furnishings and workspace assets, including inventory control, furniture installations, warranty repairs, spare parts management, and workstation modifications.
  • Provides project management support for construction projects and large-scale building initiatives in coordination with the Associate Director of Building Services.
  • Coordinates the transfer of retired equipment and university property from the Library to the University Surplus and Salvage Department (Surplus) per university procedures and keeps records of retirement forms as required.
  • Escorts vendors and contractors to secure or restricted areas as required.
  • Serves as the formal backup for the Shipping & Receiving Program.


Minimum Qualifications
Requires Bachelor's degree in related field and 3-5 years of progressively more responsible experience with coordinating experience in a library, cultural heritage institution, or similar setting, or equivalency (one year of education can be substituted for two years of related work experience). Directly related experience working with the types of technologies, collections, and resources used in the specified area of library service preferred.

Preferences
Preferred experience working with tools and power tools. Attention to details is preferred. Ability to push loaded flatbed and lift up to 50 pounds. This position must be able to work independently, demonstrated problem solving skill and learn new technology. Good communication on the phone, in-person and by e-mail.
