Job Summary:

The Barbara Davis Center - Pediatric Division has an opening for a full-time, University Staff (unclassified) Administrative Assistant II position.

This position carries out established work processes and operations by learning to apply and follow procedures, techniques, rules, and regulations. Once training has been completed, the position is to be moved to the next level. Positions should not remain in this class indefinitely.

This position is a full-time (40 hours per week) Non-Exempt Professional position at the Barbara Davis Center for Diabetes Pediatric Clinic at the University of Colorado Anschutz Medical Campus. The administrative support role primarily involves managing patient appointments and administrative tasks using the EPIC EMR system. This includes greeting patients, scheduling appointments, and updating patient information such as demographics and insurance details. Additionally, responsibilities include collecting co-payments, verifying insurance coverage, and coordinating referrals for visits. Special attention is given to preparing for Type I Diabetes New Onset patient arrivals. The role also entails providing assistance to division personnel and contributing to various projects as assigned.

Patient Check-In/Check-Out, Scheduling/Payment- 80% (Essential Function)
  • Greet patients and monitor patient check-in and check-out using EPIC EMR system.
  • Maintain and retrieve confidential patient records including updating patient information and signatures.
  • Register new patients in electronic health records.
  • Work with faculty, students, coordinators, and other staff in solving scheduling and/or billing issues.
  • Enter and verify insurance information.
  • Facilitates efficient, professional, and confidential patient/student/faculty interaction.
  • Decides which patient concerns or inquiries need to be passed on to the clinic director, office manager, resident, or faculty.
  • Uses sound judgment when dealing with patients on a daily basis.
  • Seeks assistance with patient conflicts (i.e. missed appointments, scheduling issues).
  • Follows established policies and procedures related to patient records and release of medical records.
  • Complies with HIPAA/FERPA regulations regarding patient and student information, correspondences, and communications.


Front Desk Reception/Phones/Virtual Communication - 20% (Essential Function)
  • Greet and assist, phone and walk-in customers.
  • Provide exceptional customer service to the patients seen daily.
  • Answer all incoming calls and disseminate them appropriately to the correct person or department.
  • Handle patient inquiries and provide information regarding dental school policies.


Other Duties - (Non-essential Function)
  • On occasion, this position may be assigned other duties needed to help drive to the vision, fulfill the mission, and uphold the organizational values of CU Denver/Anschutz and the Barbara Davis Center.

Onsite - this role is expected to work onsite and is located in Aurora Colorado

Qualifications:

Minimum Qualifications:
  • Experience Only: Two (2) years of relevant experience in an occupation related to the work assigned to this position OR Education and Experience: A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years


Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Familiar with EPIC in a medical clinic setting.

  • Outstanding customer service skills.
  • Organizational office skills and the ability to effectively communicate with others.
  • Strong computer skills with proficiency in Microsoft Office and other programs.
  • Able to multi-task in a fast-paced environment.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $40,248-$48,300

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
