Job Description:
Facilities Planning at Madison College is seeking a Facilities Coordinator to provide planning, coordination, and administrative support for maintenance, construction, renovation, and sustainability projects.
This position helps manage the logistics and execution of small capital and facilities projects while contributing to the planning, documentation, and coordination of larger construction initiatives. In this role strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining accurate project records is vital.
The Facilities Coordinator supports project scheduling, budget tracking, invoice processing, facility drawing updates, inventory management, and the maintenance of districtwide facilities standards. This position also collaborates with internal departments, contractors, vendors, and other stakeholders to coordinate construction activities, equipment installations, and project-related needs while minimizing disruptions to college operations.
Position Details:
- Schedule: Monday through Friday schedule from 8:00am to 4:00pm and offers a hybrid work schedule, with the opportunity to work remotely up to two days per week. Subject to change in accordance with Madison College policy.

Accountabilities:
- Manages the planning, coordination and logistics of small capital and facilities projects to ensure timely delivery, budget alignment and quality outcomes.
- Contributes to large-scale construction projects by supporting design development, documentation and construction coordination to ensure consistency with institutional priorities.
- Maintains and updates districtwide facilities standards to promote design consistency, regulatory compliance and long-term operational efficiency.
- Prepares and revises facility drawings using computer-aided design software to support planning accuracy and maintain up-to-date facilities documentation.
- Oversees budget tracking, invoice processing and project monitoring to uphold financial accountability and keep projects on schedule.
- Supports the advancement of sustainability initiatives by coordinating planning efforts and contributing to the implementation of strategic environmental goals.
- Coordinates with stakeholders during construction and equipment installation projects to ensure needs are met and disruptions are minimized.
- Maintains facilities inventory records and conducts supply checks to support informed planning and resource management.
- Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.
Knowledge, Skills & Abilities:
- Knowledge of construction management principles, building systems and industry standards related to facilities projects.
- Knowledge of sustainability planning and facilities design practices.
- Skill in coordinating construction project activities, including budgeting, scheduling and contractor tracking.
- Skill in using computer-aided design software.
- Skill in interpreting technical documents such as design specifications, contracts and construction plans.
- Ability to manage multiple processes, meet deadlines and maintain accuracy in a fast-paced environment.
- Skill in engaging positively with all populations and communities, contributing to a safe and inclusive learning and work environment.
- Skill in effectively and respectfully communicating with others.
Minimum Requirements:
- Education:
- Bachelors or Associate AND equivalent relevant work experience.
- Experience:
- 1-2 years of relevant professional experience
