Job Description Summary
The Doctorate in Nonprofit Administration (DNPA) Administrative Coordinator manages day-to-day operations of the program, assists with recruitment, provides technological support for instructors and students, plans and executes onsite student immersions, ensures student timelines and logistics for successful graduation, and handles payment and budgeting. Occasional evening and weekend work required.

Job Responsibilities
  • Manage day-to-day operations. First point of contact for prospective applicants, current students, alumni and faculty by email, text, and phone calls. Schedules monthly DNPA governance committee meetings, creates agenda, makes sure student reps are present and takes meeting minutes. Oversees election of student representatives. DNPA Program representee in several SP2 and Penn wide meetings including Online Directors Meeting and Student Engagement & Climate.
  • Assist faculty director in all phases of admissions work including scheduling interviews; making sure faculty are assigned applicant files and have access; create yearly admissions decisions grid. Runs the admissions meeting to assure we achieve enrollment goals. Works with admissions in sending out accept/waitlist/reject letters. Assist with yearly recruitment planning and information sessions. Is the designated expert for the program on the new admission system software.
  • Trains DNPA faculty and provides support for Zoom and Canvas. Maintains most Canvas pages for the program. Locates readings and videos from campus library or publishers. Provides online/on call tech support for students and faculty during online classes. On call and available during every class (Tuesday and Thursday nights from 6:30pm to 9:00pm).
  • Plans and executes two week-long onsite student immersions. Includes setting speakers, ordering food, securing space and fostering student connection. Create and maintain program calendar of class sessions for all 3 cohorts.
  • Attends each student dissertation defense. Provides docusign forms and any help with physical room setup or Zoom needs. Maintains student milestone records and tracks and reminds students and dissertation chairs about deadlines for successful graduation. Monitors every student's progress and advise the program director of students who do not meet the expected progress, including class performances and dissertation process. Attends to backstage needs for commencement.
  • Handles payment letters for the program. Makes travel and hotel accommodations for visiting instructors, assists with Concur reimbursement request for each. Works with finance to project student enrollment and budget expense for the year and projects for next 3 to 5 years.
  • Perform additional duties as assigned, including participation in convocation and graduation ceremonies as needed.


Qualifications
  • High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
