Position Description

This position provides administrative support to the Seattle University Department of Military Science (Army ROTC), and the Veteran and Military Student Center (VMSC). This position reports to the Director of Veteran and Military Affiliated Students within Student Success and is housed in the ROTC office except for July/August.

Essential Job Functions

  • Greet visitors to the department and maintain a professional environment. Provide accurate and timely administrative support to Seattle University Army ROTC Cadets as well as military affiliated students.
  • Work with students to identify campus resources and partners to support student success. This may include admissions, advising, housing, registrar, financial services, counseling services, career services, and more.
  • Maintain department budget including fundraising efforts, office supplies, and operational funds. Have a willingness & ability to apply for PROCARD and manage a monthly reconciliation of purchases.
  • Support annual class scheduling for Army ROTC classes at Seattle University.
  • Assist with planning and coordinating campuswide Veteran and Military events. Maintain a historical file for all past events.
  • Process reimbursement requests for department expenditures.
  • Work closely with the School Certifying Officials (SCO) and Student Financial Services (SFS) to support timely and accurate payments of Veteran GI Bill entitlements as well as ROTC scholarship entitlements.
  • Work with the Seattle University marketing team to maintain and update Seattle University websites to ensure accurate information is portrayed.
  • Maintain contact lists (phone, email, etc.) for Centers of Influence (COI's) and other prominent supporters.
  • Develop a predictable and routine schedule to maximize support and engagement on campus.
  • Hiring and supervision of ROTC student workers.
  • Provide and remove door access for ROTC office for students.
  • Troubleshoot tech support and facilities support for Cadre members.


Qualifications

  • High School diploma or equivalent (GED) and two or more years of administrative office support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • Ability to communicate effectively with others in writing, by phone or in person. Excellent customer service skills including the ability to create a professional and courteous environment and work with diverse populations. Ability to organize and prioritize and able to perform multiple tasks successfully. Must be able to work with military service members and other government workers.

Preferred Qualifications

  • Bachelor's degree preferred.
  • Experience working in an academic and/or military environment.
  • Knowledge of Veteran and ROTC education benefits.

Compensation at a Glance

Salary Range: $27,000 - $29,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
