Job Summary

The College of Communication, Media, Design and Information welcomes applications for the Graduate Program Coordinator position! The CMDI Graduate Program Coordinator plays an integral role in the management of all aspects of the graduate student lifecycle in the College and serves as the initial point of contact with relevant campus offices, including the Graduate School, the Bursar's Office, the Registrar's Office, and ISSS (International Student and Scholar Services).
The position will coordinate processes from admissions through graduation, serves as the first point of contact for interested applicants, manages the admission CRM (Slate), and is in charge of delivering applicant files for review to faculty, processing admits, and advising incoming students on their new programs. The position also coordinates several key processes for graduate students, including scholarships, research funds, transfer credits, graduate faculty appointments, comprehensive and final examinations, and graduate student employee appointments in coordination with CMDI HR.
Additionally, the position supports students to prepare for graduation by sending deadline reminders, assisting with preparations for examinations, and serving as the main point of contact for commencement, as well as assisting the Graduate Program Manager with the coordination and execution of graduate student events such as orientation and seminars throughout the year.

What Your Key Responsibilities Will Be

Graduate Program Coordination
  • Serve as the primary point of contact for routine graduate program inquiries. Manage all inquiries sent to the graduate email account, including inquiries from potential and current students, faculty and staff administrative inquiries, and so on.
  • Maintain accurate records of student enrollment, milestones, and funding.
  • Coordinate routine processes for all graduate students to support completion of critical milestones (comprehensive exam, defense, etc.) and advise students on graduation requirements.
  • Support and coordinate the identification and appointment of graduate student assistantships.
  • Ensure compliance with university and Graduate School policies.
  • Ensure that all students are aware of and follow requirements on class credits, residency, reporting, etc.
  • Coordinate the graduate faculty approval process for all faculty or instructors teaching graduate students, including maintaining up to date records of current graduate faculty and renewal requirements.
  • Assist the Graduate Program Manager in the development and maintenance of administrative processes related to graduate education.
  • Support the Graduate Program Manager in tracking and analyzing student data for reporting purposes.
Student Recruitment Coordination
  • Oversee logistical aspects of graduate admissions, including application tracking and processing. Manage admissions process through Slate from application to admission and enrollment.
  • Assist faculty with admissions processes and coordinate applicant communication.
  • Support recruitment for professional master's programs, including fielding applicant questions about program requirements, supporting the coordination of events, and providing hands on support for applicants through the admission and enrollment process.
  • Assist in developing outreach and marketing strategies for professional master's programs.
  • Support the recruitment efforts for both traditional and professional master's programs.
Student Support and Communication
  • Support event coordination for networking, professional development, and student engagement.
  • Manage routine graduate student communication channels, including listservs, newsletters, and other platforms.
  • Update the CMDI website to maintain current and accurate graduate program information.
  • Serve as a liaison for student funding inquiries and assist in providing information on fellowships, scholarships, and assistantships.
  • Assist in the coordination of orientation sessions for incoming graduate students.
Graduate Assistantship and Employment Support
  • Support the preparation and processing of assistantship and fellowship appointments in coordination with CMDI HR.
  • Ensure that tuition remission is applied correctly for eligible students.
  • Coordinate with the Graduate School and CMDI HR to ensure compliance with all relevant graduate student employment policies and processes.
  • Provide guidance to faculty and students on assistantship responsibilities and employment policies.

What We Can Offer

The salary range for this position is $55,100 - $62,125 annually. Onboarding assistance/moving stipend for relocation, is available per department guidelines.

What We Require

  • Bachelor's degree from an accredited institution and one year experience supporting students in higher education.
  • One year job-related experience in academic services or related experience.
    • Equivalent combination of education and experience may substitute.

  • Proficiency with Microsoft Office applications.
  • Experience with scheduling and event coordination.
  • Excellent communication and interpersonal skills.

  • Working knowledge of Microsoft Office suite of applications, including Outlook, Word, Excel and Powerpoint.
  • Familiarity with graduate student admissions and recruiting cycles.
  • Sensitivity to and appreciation of cultural, political and geographical differences with ability to work well with faculty and graduate students from all backgrounds.
