Position Announcement

Utah Valley University is seeking an Application Administrator to support the effective operation of software systems that serve student-focused functions within the Student Affairs Division. This role is central to ensuring applications remain reliable, secure, and well maintained, with a strong emphasis on data integrity and uninterrupted service. The Application Administrator coordinates project planning, works closely with stakeholders, and supports thoughtful change management to enhance system performance and usability. Serving as the primary point of contact for assigned applications-including CRM platforms, mobile applications, and other digital solutions-this position offers the opportunity to contribute to continuous improvement efforts that strengthen Student Affairs operations and support the university's broader technology goals.

Summary of Responsibilities


  • Maintain, support, troubleshoot, and document Student Affairs software applications in support of the division's strategic technology plan. Review software update release notes, ensure compatibility, communicate feature changes to stakeholders and employees, and schedule updates to the system. Perform application administration activities such as creating, modifying, and deleting users, optimizing remote access, security access for databases and web applications, etc. Monitor system performance, proactively identify issues, and implement solutions to optimize reliability and user satisfaction. Coordinate and participate in testing, troubleshooting, and quality assurance for new and existing technology solutions.
  • Manage the strategic planning, selection, implementation, and integration of student-facing platforms, including CRM systems, mobile applications, and other digital solutions. Build and maintain key relationships with vendors and divisional stakeholders to best support their technology needs. Establish and communicate criteria for evaluating technical proficiency.
  • Collaborate with the Partnership Director, Student Affairs teams, IT departments, and external vendors to coordinate system upgrades, data integrations, and user support services to enhance productivity and improve work processes. Coordinate and communicate with department leadership to plan, design, and schedule the release of all software, hardware, and operating system updates. Support the needs of Student Affairs stakeholders by evaluating vendor solutions to address operational and strategic objectives.
  • Provide training and support to Student Affairs staff to foster digital fluency and maximize effective use of technology across the division. Stay current with emerging software, systems, and applications that enhance the student experience, and recommend appropriate solutions. Develop and maintain documentation for system processes, configurations, and user guides to support ongoing operations and onboarding. Rapidly assess new technology solutions against strategic plans, compliance with FERPA, data governance, accessibility, security, privacy, and other relevant regulations of the division and institution.


Qualifications / Licenses / Certifications


  • Bachelor's degree and 4+ years of experience in higher education (or a combination of education and experience totaling 8 years.)
  • Experience with student-facing technology platforms, CRM systems, and digital transformation initiatives.
  • Familiar with FERPA, data governance, accessibility, and privacy standards.
  • Demonstrate an ability to collaborate with a range of stakeholders and external vendors.

Preferred Qualifications
  • Master's degree
  • Experience with Element 451, EAB Navigate, and other similar systems.
  • Strong knowledge of FERPA, data governance, accessibility, and privacy standards.


Knowledge / Skills / Abilities

Knowledge
  • In-depth knowledge of enterprise software applications and their administration, including installation, configuration, and maintenance.
  • Advanced Knowledge of process management and project management
  • Knowledge of enterprise information systems in higher education environment.
  • Knowledge of confidentiality requirements including FERPA and GRAMA regulations.
  • Familiarity with system security principles and best practices to ensure data integrity and confidentiality.
  • Knowledge of software update release processes and change management practices.
Skills
  • Proficiency in productivity/communication applications such as spreadsheets, databases, presentations, project management, etc.
  • Strong documentation and report writing skills, including backup procedures, test plans, and reports.
  • Strong troubleshooting skills to identify and resolve software application issues efficiently.

  • Advanced skills/experience in responding to support issues and outages, resolving system issues, and communicating in a timely manner.
