Assistant Director for Events, Operations, and Administration

Job Summary:
Reporting to the Director of Athletics and the Associate Director of Athletics for Events and
Operations, the Assistant Director for Events, Operations and Administration provides
comprehensive administrative support to the Division I Athletics Department while assisting with
the planning, coordination, and execution of athletic events and operational functions. This full-
time position supports athletics administrators and departmental operations through office
management, compliance-related support, and oversight of athletic events and facilities
operations. The role requires strong organizational skills, attention to detail, and the ability to
work effectively in a fast-paced collegiate athletics environment.

Full Job Description:

Duties & Responsibilities

I. Assistant Director of Events & Operations (65%)

30% - Athletic Events Management

Co-manage the planning, coordination, and execution of all home athletic

events

Serve as event manager for assigned sports, ensuring smooth game-day

operations

Co-manage event staffing, including student workers, volunteers, and part-

time staff

Lead event setup, breakdown, and post-event evaluations

15% - Facilities & Operations Support

Co-manage scheduling and coordination of athletic facilities for practices,

competitions, and special events

Partner and collaborate with facilities, campus services, and external vendors

to ensure operational readiness

Support facility operations, safety procedures, and emergency action plans

Assist with equipment, signage, and operational needs for athletic events

10% - Game-Day Logistics & Compliance

Ensure events are conducted in accordance with NCAA, conference, and

institutional policies

Coordinate with officials, visiting teams, campus security, and medical staff

Assist with credentialing, event access control, and crowd management

Support ticketing, marketing, and external relations efforts as needed

10% - Compliance & Student-Athlete Support

Manage the implementation of NCAA compliance documentation, forms, and

record-keeping to include recruiting visits to ensure the forms are received on

time and completed properly

Maintain accurate team rosters, schedules, and departmental records

Track recruiting logs, eligibility paperwork, and student-athlete documentation

Ensure confidentiality and compliance with NCAA, conference, and

institutional policies

Coordinate with compliance, academic services, and finance offices as

needed

II. Athletics Administrative Duties (35%)

20% - Administrative & Office Support

Provide daily administrative support to senior athletics administrators in their

endeavors to serve coaches, student-athletes and Dons Athletics

stakeholders.

Manage calendars, schedule meetings, and coordinate internal and external

communications including monitoring of the usfdonsathletics@usfca.edu

email.

Prepare correspondence, reports, presentations, and meeting materials

Serve as a primary point of contact for visitors, vendors, and campus partners

10% - Departmental Support

Maintain office files, electronic records, and supplies

Coordinate onboarding and supervision of student workers

Support department-wide initiatives, special projects, and events

Provide general administrative support across the athletics department

Assist in hiring, training, and supervising event

5% - Other duties as assigned

Required Qualifications
Bachelor's degree from an accredited institution
At least 2 years working in an intercollegiate athletics department
Strong organizational, time-management, and multitasking skills
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Ability to manage sensitive and confidential information with discretion
Ability to work independently and collaboratively in a team environment
Preferred Qualifications
Experience in athletic event management or facilities operations
Familiarity with NCAA Division I rules, compliance, and event operations
Experience with athletics management systems (e.g., Teamworks, ARMS)
Work Schedule & Environment
Full-time position in a fast-paced Division I athletics environment
Requires flexibility to work evenings, weekends, holidays, and extended hours during
competitive seasons

Regular interaction with student-athletes, coaches, administrators, officials, and campus
partners

$70,000-$100,000 annualized; commensurate with experience.
