Position Announcement


Utah Valley University is looking for a skilled Administrative Assistant who is organized, proactive, and dedicated to supporting a collaborative campus environment. In this role, you'll work closely with a Director to manage a wide range of administrative and operational responsibilities-from coordinating meetings and events to maintaining accurate records, monitoring budgets, overseeing scheduling, and ensuring daily operations run smoothly. You'll also serve as a knowledgeable resource for students, faculty, and campus visitors, providing clear and helpful information about department and university services.

Summary of Responsibilities


  • Performs confidential administrative support duties, including composing routine correspondence, reports, presentations, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work-related areas. Maintains a variety of documents associated with the advising center.
  • Provides administrative support for the department, including answering telephones, greeting and assisting visitors, and informing students, faculty, and the public of available department and university services. Provides correct and accurate information to inquiries and requests for assistance. Greets and directs students for appointments with advisors.
  • Monitors finances and tracks budgetary expenses and submissions. Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures.
  • Coordinates department events and assists Academic Advisors with various administrative functions and maintains records for the advisement center, such as calendars, statistics, etc.
  • Performs other job-related duties as assigned.


Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties or any combination of education and/or experience totaling four years.

Preferred Qualifications

Knowledge and use of Outlook, Banner, and/or Concur.

  • Knowledge of managing finances and budgetary responsibilities across multiple budget lines.
  • Knowledge of procurement and similar procedures.
