Job Summary
Reporting to the Director of Faculty Support and Administration at the Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS), the Faculty Support Administrator performs a wide range of highly skilled duties that contribute to the efficient operations of the Faculty Support team and provide administrative support for the Director. This position will support projects and initiatives that align with the work of the Faculty Support team, and will lead project teams, from the development phase to the implementation phase. The Faculty Support Administrator will also assist with onboarding new staff and will serve as a subject matter expert on departmental policy, systems, training, and other areas specific to work performed by the Faculty Support team.
Position Description
Leading Groups and Managing Projects:
- Responsible for leading meetings with minimal direction or supervision to help either identify areas to improve departmentally, or to help lead meetings that are designed to problem solve and implement solutions.
- Work in close conjunction with the Director on developing and implementing process improvement initiatives for faculty support roles.
- Serve as a project manager for the rollout of new initiatives.
Subject Matter Expert:
- Serve as a subject matter expert for faculty support staff on departmental policies, systems, training, and other areas.
Onboarding:
- Serve as the primary onboarding contact for new hires.
- Ensure staff have proper systems access and tools.
- Meet with new hires throughout the multi-month onboarding process and maintain checklists for each new employee.
Documentation and Policy Development:
- Develop materials such as: onboarding, offboarding, departmental guidelines, training, departmental policies, written educational material, etc.
Maintenance of Departmental Resources:
- Maintain websites and shared file areas, including, but not limited to, the department website, Google site, SharePoint site, shared calendars, and file drives.
General Administrative Support:
- Provide general administrative support, including, but not limited to, scheduling multi-member meetings, recording meeting minutes, space booking, ordering catering and A/V, organizing team events, and representing the Faculty Support team at meetings as needed.
- Responsible for entering Buy2Pay orders, Concur reports, and performing related tasks.
Other duties as assigned.
Basic Qualifications
5 or more years of related experience. Education beyond high school may count towards experience.
Additional Qualifications and Skills
:"
- Bachelor's Degree preferred.
- Working knowledge of basic financial concepts and tools (i.e. financial reporting, spreadsheet manipulation).
- Knowledge of Harvard financial systems (Buy2Pay, Concur) preferred.
- Excellent organizational and attention to detail skills with ability to effectively prioritize in an environment with multiple and conflicting priorities.
- Strong customer service and interpersonal skills with all levels of staff. Ability to work across teams with a variety of projects and constituencies is essential.
- Strong written and verbal communication skills.
- Intermediate competence with Word, Excel and PowerPoint, as well as some website experience. Ability to learn and adapt to new systems quickly, including emerging office technologies and communication tools.
- Proactive with demonstrated ability to respond quickly, disseminate information, problem-solve and bring issues to resolution. Self-initiative, confidence, adaptability, and good judgement are essential.
- Strong commitment to fostering a welcoming and inclusive environment for all persons interacting with SEAS.
Working Conditions
Work is performed in an office setting with event support as needed. This position will have an onsite work location on our Cambridge, MA campus, but will also require travel between our Allston, MA and Cambridge, MA campuses. Shuttles between the two locations are available during the workday.

- This position is based on our Cambridge, MA campus and an on-campus presence each week is required. Must be able to work Monday through Friday, 35 hours/week. Some events may require a schedule adjustment and/or additional work hours. A hybrid/flexible work schedule may be explored with the hiring manager during the interview process.
