Admissions Coordinator

Job Summary

The University of Utah Asia Campus (UAC) Office of Admissions recruits and enrolls undergraduate students from Korea and around the world in support of the campus goal of 1,200 enrolled students by 2030. Reporting to the Assistant Director of Admissions & Recruitment, the Coordinator, Visit Experience & Admissions Operations is responsible for the prospective student visit experience at UAC and for the operational and data functions that support the admissions team.

The position plans and executes campus visits, tours, information sessions, and on-campus recruitment and yield events; maintains admissions records, application processing support, and recruitment activity data in the admissions Salesforce & Customer Relationship Management (CRM); and provides support to domestic (Korean) recruitment activity. The Coordinator serves as the first point of contact for many prospective students and families who visit UAC, and works in a team setting with the recruitment and admissions staff. Regular travel is not expected. Occasional travel to support recruitment or yield events in the Incheon and Seoul metropolitan area may be required, and the scope of regional event support may expand over time.

This is an entry-level position intended to develop into admissions recruitment or admissions operations over time and reports to the Assistant Director of Admissions and Recruitment.

Responsibilities
Visit Experience and Campus Events
  • Plan, coordinate, and staff on-campus visit programming for prospective students and their families, including individual visits, group visits, and school group visits.
  • Serve as primary coordinator for the UAC campus tour program, including guest registration, scheduling, tour routing, problem resolution, and visitor customer service.
  • Coordinate logistics for admissions recruitment and yield events held on campus - including Discover the U Day, the Counselor Fly-In, information sessions, and admitted student programming - covering venue and vendor coordination, registration, materials, staffing, safety protocols, equipment, and setup.
  • Plan, coordinate, and staff virtual information sessions and virtual events.
  • Maintain a system of event management records, including event plans and schedules, budget tracking, contracts, attendance, timelines, and post-event analysis.
  • Administer visit and event surveys, compile results, and recommend improvements to visit and event programming.
  • Coordinate with UAC Marketing & Communications on the timely production of visit and event promotion, registration pages, email and messaging campaigns, and printed and electronic collateral.
  • Track event expenditures against the recruitment events budget, maintain appropriate documentation, and coordinate timely processing of invoices in compliance with University and UAC fiscal policy.


Admissions Operations and Data
  • Support application processing, including document intake, checklist review, follow-up with applicants on incomplete items, and coordination with the Salt Lake City campus processing team.
  • Maintain admissions records in the CRM, including inquiry entry, source coding, visit and event participation tracking, and ongoing data integrity.
  • Maintain and update the UAC admissions master list and supporting data files, and share essential data with the appropriate offices at UAC and the Salt Lake City campus.
  • Capture recruitment activity data - events, visits, school interactions, and inquiry sources - so that recruitment activity can be evaluated against application and enrollment outcomes.
  • Manage and maintain inventory of print materials, promotional items, and giveaways, including ordering and distribution.
  • Provide support and serve as backup for other functions within the admissions team as needs arise.
  • Oversee the receipt and uploading of mailed and emailed application materials.
Domestic Recruitment Support
  • Support Korean domestic recruitment activity, including preparation and materials for high school visits, counselor outreach, college fairs, and camps.
  • Respond to telephone, email, and in-person inquiries from prospective students and families and provide general admissions information under the direction of recruitment staff.
  • Redirect and respond to telephone and email from non-prospective students and families.
  • Support recruitment and yield events held off campus in the Incheon and Seoul metropolitan area as needed.
  • Assist in maintaining content on the UAC website, admissions publications, and admissions social media channels, coordinating with Marketing & Communications and Salt Lake City campus staff as appropriate.
  • Assist with the organization and execution of camps and other recruitment-related activities on and off campus.
Administrative
  • Serve as the primary supervisor for UAC Administrative Assistants' day-to-day work priorities.
  • Conduct hiring, onboarding, and ongoing training.
  • Ensure the admissions reception and visit areas are maintained in a professional and welcoming manner for prospective students and visitors.
  • Demonstrate a student-centered approach: friendly, accessible, and approachable service to students and their families.
  • Other duties as assigned.


Minimum Qualifications
  • Bachelor's degree in a related field, or equivalency (one year of education may be substituted for two years of related work experience).
  • Professional fluency in Korean and English, written and verbal.
  • Demonstrated human relations, customer service, and effective communication skills.
  • Ability to work occasional evenings and weekends during peak recruitment and event periods.
  • Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.


Preferences
  • Experience coordinating and executing events for a range of audience sizes.
  • Experience in higher education admissions, student services, event management, or a comparable customer-facing role.
  • Familiarity with the Korean secondary school landscape, including domestic high schools and international schools in Korea.
  • Experience with CRM systems - Slate by Technolutions preferred - with demonstrated accuracy in data entry and comfort navigating reports and queries.
  • Proficiency with the Microsoft Office suite, particularly Excel.
  • Strong organizational and coordination skills, with the capacity to manage competing deadlines and prioritize effectively.
  • Excellent problem-solving and time-management skills, with the ability to work both independently and as part of a team.
  • Demonstrated ability to communicate complex information clearly to culturally and linguistically diverse audiences.
