The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, training and internal pay comparison. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

The Assistant Director provides comprehensive administrative and operational support to both the Center for the Study of Europe and the Center for Latin American Studies. This role is equally divided (50/50) between the two centers and reports directly to their respective Directors. The incumbent is responsible for managing events, overseeing budgets, coordinating communications, supporting academic programs, and facilitating grant activities. Additionally, the Assistant Director supervises student employees and contractors, maintains digital platforms, and serves as a key liaison among faculty, visiting researchers, students, and external partners.
Key Responsibilities:
Finance and Administration:
- Oversee operational budgets for both centers, including preparation of annual budgets in collaboration with the Pardee Executive Director of Finance & Administration.
- Manage financial transactions: process disbursement requests, requisitions, cash-credit vouchers, and reconcile P-Card and Travel Card purchases.
- Prepare quarterly and annual financial reports; maintain accurate financial records.
- Coordinate with the Pardee Business Office and the BU Accounts Payable and other offices to ensure timely payment of invoices and bills.
- Assist in the preparation and submission of grant applications; manage awarded grants and prepare necessary reports.
- Maintain a calendar of deliverables to ensure prompting and on-time submission of required reporting.
Event Planning and Program Support:
- Plan and execute a variety of events, including guest speakers, workshops, symposia, and conferences.
- Handle all logistical aspects of these events including but not limited to room reservations, setup, cleanup, speaker travel arrangements, schedule post-event dinners, and reimbursement and payments of expenses.
- Collaborate with faculty, student organizations, and external partners to promote and co-sponsor events.
Communications and Outreach:
- Maintain and update the centers' websites with current information on events, faculty and student activities, and academic programs.
- Manage social media platforms to enhance visibility and engagement.
- Hire and supervise student workers and contractors if necessary.
- Coordinate with BU faculty and student organizations to plan joint events and initiatives.
Academic Program Management:
- Support undergraduate majors, minors, and graduate certificates in European and Latin American Studies.
- Work with Pardee Student Services and Career Services Offices to ensure program quality and visibility.
- Update and distribute course lists each semester; inform relevant departments and students about course offerings.
- Manage programs for visiting scholars and researchers, including appointments and onboarding
Administrative and Director Support:
- Provide administrative support to both Directors, including calendar management and prioritization of tasks.
- Serve as a point of contact for students, faculty, staff, and external parties seeking information about the centers.
- Assist in strategic planning, program development, and building partnerships and networks.
Required Skills
- Bachelor's degree in a related field; master's degree is a plus.
- Minimum of 3-5 years of progressively responsible management experience, preferably in university administration.
- Experience in financial and budget planning; familiarity with grant sourcing and management.
- Strong problem-solving, communication, supervisory, and organizational skills.
- Proficiency in Microsoft Office Suite; experience with SAP, Concur, and BU systems preferred.
- Ability to handle multiple projects, balance conflicting priorities, and maintain confidentiality.
