Program Specialist

Job Summary

Program Specialist
Provide administrative support for the providers and research leadership in the Department of Physical Medicine and Rehabilitation .
1. Maintain and organize meetings, calendars and phone calls. Development of meeting agendas, minutes, task lists and food arrangements, as needed.
2. Develop weekly one on one meeting with assigned providers to efficiently meet all of their needs and requests in their 3 academic missions, i.e., clinical, educational and research.
3. Assist your provider in their clinical role by working closely and cooperatively with all clinic personnel on patient related issues, i.e., maintaining patient electronic medical records, billing, follow-up patient calls, etc. (appropriate software training provided).
4. Assist your provider in their research and publications efforts, including, finding online references/journal articles, organizing references in Endnote/Mendeley, formatting manuscripts, submitting articles or book chapters for review (appropriate software training provided).
5. Assist your provider in their teaching/education responsibilities by assisting in preparing PowerPoint presentations, handouts, and related education materials, etc. (appropriate software training provided).
6. Maintain provider's CVs (in MBM system) and certifications for state licenses, DEA, credentialing reappointments, etc.
7. Make travel and hotel arrangements, register for conferences, and assist in the travel reimbursement process (appropriate software training provided).
8. Transcribe letters, emails and complete forms regarding the provider's administration and academic mission responsibilities.
9. Respond to medical record requests. Schedule attorney depositions, conferences, and coordinate billing for these services.
10. Coordinate and run the annual research symposium under the direction of the Vice Chair of Research.
11. Assist with processing reimbursements (travel, purchases, etc), updating relevant reports and other tasks as requested.
10. Provide coverage support for other administrative staff when out of the office.

Collect feedback from members, volunteers, and staff to improve future programs/services. Responsibilities may include fundraising, budgeting, and community outreach for assigned program(s). May manage special events that publicize the university and its programs to the community. Requires basic skill set and proficiency. Conduct work assignments as directed. Closely supervised with little latitude for independent judgment.
Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.This is an Entry-Level position in the General Professional track.Job Code: PZ3711Grade: P13Expected Pay Range: $29,913 to $68,625

Collect feedback from members, volunteers, and staff to improve future programs/services. Responsibilities may include fundraising, budgeting, and community outreach for assigned program(s). May manage special events that publicize the organization and its programs to the community. Requires moderate skill set and proficiency in discipline. Conducts work assignments of increasing complexity, under moderate supervision with some latitude for independent judgment.
Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.This is a Developing-Level position in the General Professional track.Job Code: PZ3712Grade: P14Expected Pay Range: $32,904 to $75,487



Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:
Program Specialists, I: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree. Program Specialists, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
