Job Summary
The University of Utah Department of Orthopaedics is seeking a highly skilled Program Specialist to play a pivotal role in advancing the department's philanthropic, global health, scholarship program, and alumni engagement initiatives. The Program Specialist provides comprehensive administrative, programmatic, and donor-stewardship support across four major areas: scholarship program management, global health program coordination, advancement administrative support, and alumni engagement. The role requires exceptional organizational skills, strong communication, discretion, and the ability to represent the department professionally to donors, alumni, students, faculty, and external partners.

Responsibilities
1. Advancement & Executive Administrative Support
- Provide administrative support to the Executive Director.
- Coordinate creation and delivery of stewardship materials, including endowment and impact reports.
- Support donor meetings, communications, site visits, and stewardship activities.
- Create and maintain a potential and current donor database.
2. Global Health Program Coordination
- Coordinate logistics for Global Health Program activities, including domestic and international travel arrangements for Hand Team global health trips.
- Serve as a primary administrative contact, supporting communication and workflow alignment with faculty, staff, and external global health partners.
- Support financial processes such as travel reimbursements, budget tracking, and compliance with institutional policies.
- Manage program meetings, documentation, and reporting-maintaining agendas, minutes, trip summaries, participant rosters, and impact data.
- Assist with donor related activities, including event coordination and preparation of impact materials.
- Provide administrative support for grant submissions, inventory of donated supplies, and logistics for visiting observers.
3. Scholarship Program Management
- Manage annual scholarship cycle (~70 students, ~$300,000 total).
- Oversee applications, scholarship committee, interviews, notifications, documentation, selection, and fund disbursement.
- Manage a scholarship stewardship plan to ensure donors are appropriately recognized and remain connected to the impact of their support
4. Alumni Engagement (Residents & Fellows)
- Collaborate with department leadership and faculty to design engagement opportunities for emeritus faculty, alumni, and donors-both locally and in key national regions.
- Plan and coordinate alumni events, updates, newsletters, and engagement strategies.
- Maintain accurate alumni records, engagement metrics, and outcome tracking.
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Program Specialists, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Program Specialists, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.

Qualifications

- Familiarity with budgeting, finance, and public relations.
- Demonstrated professionalism in handling sensitive and confidential matters.
- Proven ability to work independently, make informed decisions, and manage competing deadlines.
- Strong written and verbal communications skills are essential
Preferences
- Bilingual in English and Spanish to support communication with faculty, partners, and participants during international global health activities
- Experience in academic medicine, donor relations, or alumni engagement.
