JOB SUMMARY
Under general direction, is responsible for the logistical aspects of the Continuing and Professional Education program including scheduling courses, providing support to students, faculty, and staff, conducting community outreach, public relations, and ensuring an efficient student enrollment process; performs complex and skilled technical and administrative tasks including research, reports, and budgets, with a significant degree of independence.
DISTINGUISHING CHARACTERISTICS
A Continuing and Professional Education Specialist is distinguished from Program Specialist-level classifications in that an incumbent in the former class performs professional-level program development and implementation duties with a higher degree of independence and interaction with community partners.

DUTIES AND RESPONSIBILITIES

- Provides complex administrative, logistical and technical support to the director and professional staff in the program; coordinates and participates in administrative support operations with a significant degree of independence; acts as liaison for the director with departments and departmental staff.
- Leads the planning, development, implementation, coordination and evaluation of the day-to-day operations of program services and procedures.
- Serves as a technical resource concerning classes, trainings, camps, and events within the program, under the guidance of the supervisor; obtains and provides information, records, and materials to staff and the public where judgment, knowledge, and interpretation of policies, procedures, regulations, and organizational functions are required; verifies information for staff, students, participants, and outside agencies as requested.
- Coordinates and participates in recruitment and outreach activities, including tabling and recruitment events, to promote the program throughout the community.
- Monitors progress of enrolled students; maintains student files; collects and monitors compliance and outcome data on assigned program's participants.
- Assists in building and maintaining effective working relationships with community partners, as well as, college faculty, staff and administrators; frequently interacts with community members and organizations; provides general consultation and assist individual students in utilizing the many and varied services available.
- Consults with other program related organizations, advisory committees, and social service agencies on matters of program quality and enhancement.
- Creates and maintains courses within the department registration system; assists prospective students with online registration, provides information on courses, trainings, camps, programs and deadlines; handles enrollment-related inquiries.
- Composes correspondence and documents independently or from written or verbal instruction; prepares, formats, edits, proofreads, and revises materials; maintains confidentiality of sensitive and privileged information; documents include but are not limited to forms, reports, contracts, packets, memoranda, bulletins, notices, lists, statistical reports, brochures, pamphlets and flyers, electronic newsletters, agendas, manuals, event programs, invitation flyers, class schedules, program brochures, and posters.
- Coordinates public relations, publicity, creates marketing strategies, manages social media, and develops advertising to support the department, specific programs, events, and community outreach.
- Researches and compiles a variety of information; prepares and maintains a variety of complex lists and records; computes statistical information; processes and evaluates a variety of forms and applications related to assigned functions; establishes and maintains both automated and traditional filing systems.
- Coordinates and assists agenda items from Continuing and Professional Education; proofreads agenda items for accuracy and inclusion of necessary exhibits and backup items.
- Assists with the development and maintenance of annual program budget; prepares and processes requisitions; tracks budget printouts to verify accuracy of records; researches and resolves errors or discrepancies.
- Maintains a variety of financial and statistical records according to established procedures and timelines; records purchases and expenditures; maintains current balances, and transfers funds in accordance with approved procedures; prepares and maintain related financial reports.
- Prepares and updates instructor agreements; initiates personnel action forms (PAFs); assists in the maintenance of employee files; maintains accurate staff attendance records and other reports concerning personnel; assists in the arrangement for substitute personnel as needed; maintains confidentiality of sensitive information.
- Coordinates and schedules various appointments and meetings; makes travel arrangements; prepares and assures proper completion of reimbursement forms.
- Orders, receives and maintains inventory of office and program specific supplies and equipment.
- Receives, screens, and routes email, telephone calls, and mail; greets and assists visitors; refers callers or visitors to appropriate staff members; takes and relays messages; respond to requests, complaints and questions from officials, staff, and the community, representing the director.
- Coordinates and attends a variety of meetings; prepare related notices, reports, presentations, and agendas; takes and composes minutes using judgment as to content; follows up on matters in accordance with instructions and meeting minutes.
- Attends and leads sponsored workshops, seminars, and other events as assigned.
- Carries out special projects as directed by the director; manages office and administrative tasks related to special assignments.
- Develops and implements office procedures to ensure complete and timely operations; creates office forms as necessary to facilitate workflow.
- Demonstrates an understanding of, sensitivity to, and appreciation for the diverse academic, socio- economic, cultural, disability, gender identity, religious, sexual orientation, and ethnic backgrounds of students and staff attending or working on a community college campus.

Qualifications
QUALIFICATIONSRequired Education and Experience
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
- Associate's degree from an accredited college or university with three (3) years of increasingly responsible experience in providing complex program support, budget administration, program administration and/or coordination of program services, contact with the public and diverse populations; OR
- High School Diploma or equivalent, with five (5) years of increasingly responsible experience in providing complex program support, budget administration, program administration, and/or coordination of program services, contact with the public and diverse populations.
- A Bachelor's degree
- Experience working in an academic setting (e.g.; college, adult education) and/or community recreation programs.
- Experience in community outreach, including, but not limited to, tabling events, awareness campaigns, and fostering collaborative programming.
- Experience working with grant-funded programs.
- Experience in community outreach, public relations, social media, publicity, marketing, or advertising.

- Current office procedures and practices including filing systems, reception and telephone techniques and etiquette, and professional letter and report writing, and record-keeping and filing.
- Strong English verbal and written communication skills including spelling, grammar, punctuation, and vocabulary.
- Standard math and bookkeeping principles.
- Principles, practices, procedures, and techniques involved in the collection, maintenance, preparation, verification, record-keeping, and reporting of statistical data.
- Advanced computer application software that includes word processing, spreadsheets, presentations, and Google Suite applications.
- Database functions, including the ability to enter, query, retrieve, analyze, and prepare data.
- Principles of training and providing work guidance to others.
- Effective methods of time and project management.

29 hours per week/ 12 months per year
Monday-Thursday 9:00 AM - 3:30 PM and Friday 9:00 AM - 2:30 PM

CANDIDATE TRAVEL REIMBURSEMENT
Monterey Peninsula College will provide up to $1,000 travel reimbursement to eligible candidates. A candidate is eligible for travel reimbursement when they have participated in an in-person interview for first- and/or second-level interviews, and when they live 50 miles or more from the College.
