Job Summary


The Graduate Programs Coordinator (GPC) supports graduate students in the School of Education (SOE) from the prospective student stage through application, matriculation, and graduation. Working closely with the Associate Dean for Graduate Education and the Director of Enrollment Management, the GPC coordinates graduate recruitment and admissions processing; advises enrolled students on academic milestones, degree requirements, and university policies; monitors academic progress; manages graduate records and compliance processes; and delivers comprehensive student support services. The role serves as a central liaison among students, faculty, and campus partners to ensure Graduate School compliance while advancing graduate enrollment, student success, engagement, and timely degree completion.

What Your Key Responsibilities Will Be


Recruitment & Admissions Processing:
  • Communicate with prospective graduate students via email, in-person, and virtual platforms.
  • Manage graduate application processing and tracking in collaboration with campus admissions offices.
  • Prepare graduate admissions reports and conduct enrollment and yield analysis.
  • Support a seamless transition for graduate students from admission through matriculation, enrollment, and degree completion.
  • Participate in relevant campus and SOE meetings related to graduate recruitment and education.
  • Support BUENO (EBB MA) application and enrollment tracking and troubleshooting.

Graduate Student Support and Advising:
  • Monitor and report graduate student academic progress, degree milestones, and enrollment status using existing systems.
  • Track and support special graduate student populations, including students in academic difficulty or with stalled progress to degree; advance critical issues as appropriate.
  • Manage the annual graduate student review process and associated documentation.
  • Advise graduate students on academic policies, procedures, degree requirements, transfer credit, leaves of absence, withdrawal, and readmission processes.
  • Conduct proactive outreach to graduate students with service indicators or registration barriers.
  • Communicate regularly with graduate students regarding due dates, policy updates, registration, and academic processes, as well as funding, employment, and professional development opportunities.
  • Support BUENO (EBB MA) cohorts by maintaining student rosters and advisor assignments, tracking cohort-specific service indicators, coordinating immunization and insurance waivers, and ensuring compliance with enrollment and graduation requirements.

Degree Audit, Records, and Compliance:
  • Collaborate with the Registrar's Office to maintain accurate degree audits and resolve discrepancies.
  • Train graduate students and faculty on degree audit tools and best practices; review degree audits annually.
  • Manage faculty advisor assignments, academic subplans, licensure updates, and endorsements in Campus Solutions.
  • Track and process Graduate School documentation, including extensions, candidacy and graduation applications, transfer credit requests, and academic recovery plans.
  • Register graduate students in controlled-enrollment and ad hoc courses as needed.
  • Ensure continuous enrollment compliance and maintain graduate student rosters.
  • Administer comprehensive and final exam forms and review committee compositions for Graduate School compliance.
  • Maintain the Graduate Faculty Appointments database.

Graduate Program Coordination and Communication:
  • Plan and coordinate MA student orientation.
  • Maintain graduate student listservs and update distribution lists each term.
  • Serve as graduate liaison to the Graduate School, Registrar's Office, Continuing Education, and International Student and Scholar Services; remain current on policies, procedures, and training.
  • Advise faculty and staff on graduate policies, procedures, and compliance requirements.
  • Support updates to graduate-related content in the University Course Catalog, SOE website, PhD intranet, and SOE Student Handbook.
  • Analyze internal workflows and recommend procedural or policy improvements to enhance efficiency and service quality.

Other Duties:
  • Serve on SOE and campus committees.
  • Additional duties as assigned.


What You Should Know

  • This role follows a hybrid work schedule, requiring a minimum of 12 hours per week in the office, out of a 40-hour work week.
  • The position operates on a Monday through Friday schedule, with core hours from 10:00 AM to 3:00 PM to ensure team collaboration and availability.


What We Can Offer


The annual salary for this full-time position is $56,000 - $62,000.
