Position Description:

Under the general direction of the Director of Learning Assistance Programs, this part time position is responsible for supporting the work of the Learning Assistance Programs (LAP) to provide direct academic support services to our students, faculty and staff to enhance student learning experiences and promote overall student success. This position collaborates with others on campus to ensure coordination of learning support for students.

Programmatic and Administrative Support for LAP (55%)
  • Manage the LAP in-person and virtual intake desks including staffing, organization, service, policies, and procedures.
  • Assist in record keeping and data management, create and maintain student and student employee records/information in TracCloud for College Reading and Learning Association (CRLA) certification requirements, compile quarterly data reports, and provide general administrative and program coordination support for the Director and Assistant Directors in LAP.
  • Process and maintain student employee records throughout the entire recruitment, hiring and onboarding process, hiring paperwork, and monthly Web Time approvals for student employees hired by LAP.
  • Assist with monitoring and responding to referrals from the campus community and connect students with appropriate resources based on needs/concerns listed.
  • Provide administrative support for admissions and orientation related activities
  • Monitor departmental operating budgets through the use of InformSU.
  • Manage departmental supplies including inventory throughout the year.
  • Coordinate as needed with other Library and Learning Commons Partners

Student Supervision and Management (35%)
  • Directly supervise the LAP Office Assistants (OAs) including providing training in LAP services, workflows, policies and procedures; scheduling; task management; and program evaluations.
  • Support LAP Office Assistants through project delegation, scheduling, and being the day-to-day point person for LAP service and procedure inquires.
  • Payroll management

Assist with coordination of department event planning and logistics (10%)
  • Provide administrative support for the required quarterly Peer Educator training sessions as directed by the Director and Assistant Directors.
  • Event planning for annual employee appreciation and certification event which can include creating marketing materials, booking space, and scheduling catering.
  • Scheduling and coordinating involvement in Learning Commons Partnership events.
  • Other duties as assigned.


Qualifications:

Day to day functions of this position vary and require flexibility and problem-solving skills to assist with unexpected issues or requests.

  • Must have excellent customer service skills and the ability to communicate effectively with others in person, via email, and on the telephone.
  • Ability to work independently, self-prioritize, perform tasks concurrently and in a timely fashion, and keep attention to detail.
  • Must have ability to work collaboratively with others, both within the department and across the university.
  • Knowledge of Microsoft Office applications and databases (such as Outlook, Excel, Word, and PowerPoint and remote communication tools sufficient to accomplish job requirements (Zoom, Teams)
  • Ability to learn university-specific programs (such as ProcureSU, InformSU, and EngageSU, ChromeRiver, Handshake, and SharePoint).

Preferred Qualifications
  • Previous work experience supervising students or working in an academic environment is preferred

Compensation at a Glance:

Salary Range: $26,000 - $28,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
