Position Announcement
Utah Valley University is seeking a Facilitation and Customer Service Specialist! Working under the direction of the Director of Executive Education, this position provides high quality customer experience by facilitating executive programs and class needs, instructor support, and departmental administrative support. The Specialist ? Facilitation and Customer Service will be a key representative of our programs, working directly with instructors and students to reach their learning goals.
Summary of Responsibilities
- Program Facilitation: Manages the successful delivery of programs including providing instructor support, preparing course materials, and coordinating room and AV equipment set-up. The position will monitor class enrollment, registration and logistics, distribute and collect class rosters and evaluations, tally evaluation results to share with the Coordinator, and work with other programming personnel. Coordinates all instructor payments, including reimbursement requests for materials, supplies or equipment purchased by instructors. Organizes travel and logistics for all programs including out-of-state/international programs. Must be available to facilitate evening/weekend classes as needed.
- Customer Service: Reviews incoming email/calls on a daily basis, evaluates student issues and responds with appropriate information. Responds to calls and requests from other departments and customers related to registration/records issues and concerns. Assists with outreach events for Executive Education.
- Assists with marketing and event preparation, conference support for check-in, registration, handling of monies, and sensitive information. Acts as additional point of contact for participants and distributes event information and materials. Assists department leaders with special projects, meetings, and additional duties, as assigned.
Minimum Qualifications
Graduation from an accredited institution with an associate's degree in a closely related field plus one year of experience related to the Summary of Duties, or any combination of education and/or experience related to the Summary of Duties totaling three years.
Knowledge, Skill, and Abilities
- Preliminary understanding of community and continuing education, executive and professional development and workforce education.
- Preliminary knowledge of course and event set-up.
- Thorough knowledge of planning and scheduling techniques.
- Demonstrated skill working effectively with and efficiently in a team-oriented environment with various institutional units to plan, implement, and evaluate practices and procedures.
- Proficient in use of standard office equipment and MS Office Suite.
- Effective communication skills, oral and build relationships with diverse constituents and organizations.
- Effective problem-solving and decision-making skills with good organization and coordination techniques.
- Effective records management and information systems organization and management skills.
- Thorough understanding of basic computer programs.
- Demonstrated understanding of lines of authority related to areas of responsibility.
- Ability to recognize the need to coordinate activities through appropriate supervisory levels.
- Ability to take direction and consult with designated lines of authority.
- Ability to apply effective general principles to specific conditions and policies and follow written/oral procedures and instructions.
