Position Summary:
Willamette University is pleased to announce an opening for a non-exempt full-time position of Student Services Manager within the College of Law.

This position is part of a team of individuals that provide services to law students in many aspects of their education from orientation through graduation. The Student Services Manager provides front line support for students and faculty and assists the Associate Dean for Student Affairs & Administration with all administrative matters.

This is a full-time year-round non-exempt position. This position is eligible for the University's generous benefits package that includes: medical/dental insurance, sick and vacation accruals, retirement contribution of 10% of gross base pay from the University in exchange for a mandatory retirement contribution of 1% by the employee, tuition remission, and holidays.

Starting wage for this position is a minimum of $18, depending on background, experience, and education compensation may be higher.

Typical Work Schedule: M-F; 8 am to 5 pm (40 hrs/wk); work schedule will be confirmed with the hiring manager.

Duties & Responsibilities:
The duties and responsibilities of this position include, but are not limited to the following:

Under the direction of the Associate Dean for Student Affairs, oversees the Office of Student Affairs (OSA) functions including enrollment, registration, student academic progress, and graduation. Coordinates with other university offices including Registrar, Campus Life, Facilities Management, Campus Safety, Bookstore, Media, and Purchasing.
Assists the Associate Dean for Academic Affairs with course planning and scheduling, including preparation of curricular offerings, class schedules, registration materials and examination scheduling, and coordinates first-year practice exams.
Assists the Associate Deans in updating the Student Handbook annually. Also prepares faculty and staff rosters as well as law student photos for administrative use.
Coordinates with Bishop Wellness Center regarding student immunization compliance.
Supports Law Review and the Journal for International Law & Dispute Resolution as they conduct their summer write-on competitions.
Works extensively with the Accessible Education Services office and the Associate Dean for Student Affairs at the College of Law to coordinate appropriate academic adjustments, accommodations, and services.
Assists the College of Law Recorder to process final grades each semester and to perform degree audits for students prior to graduation.
Coordinates all Commencement activities; including attending planning meetings and acting as the student marshal for Commencement day.
Assists the University Fiscal Officer and Associate Dean for Student Affairs & Administration in monitoring the College of Law student organization budgets.
Coordinates with adjunct faculty by providing class rosters, classroom and examination scheduling, and continued student services support.
In conjunction with the Associate Dean for Student Affairs, monitors student academic progress. Manages communication to students regarding academic status.
Manages and updates OSA web site as needed.
Coordinates online student course evaluation surveys via Class Climate each semester.
Safeguards the confidentiality of departmental or office administration by exercising discretion in communicating information to faculty, students and staff, and handling departmental records and files, personnel actions, performance evaluations, grade reports, merit, promotion and tenure decisions, and similar confidential materials.

Required Qualifications:
Bachelors degree OR in lieu of degree, a combination of education, training, and additional experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position will be considered.
A minimum of four years of general office experience of a progressive nature required.
Working knowledge of FERPA requirements.
Proficiency in the use of technology. Strong knowledge of Microsoft Office suite, and Google suite.
Understanding of student records system development, use, and application. Ability to learn and adapt quickly to new software.
Ability to manage the use, storage, and input of data in a computerized management information system in conjunction with effective and appropriate paper file maintenance, in compliance with University policy as well as applicable law related to data storage, student privacy, and other guidelines.
Excellent interpersonal, oral, and written communication skills.
Creativity, flexibility, and a commitment to service and individual development in a community of learners.
Superior organizational, time management, and planning skills with exceptional attention to detail.
Ability to establish and maintain harmonious relations with other staff, faculty, and students.
Proven record of teamwork and collaboration.
Ability to interpret and explain policies, procedures, and programs. Must maintain a high level of confidentiality.
Ability to effectively interact with a wide variety of people in a manner that positively portrays the university and its programs, personnel, and philosophies.
Ability to work a flexible schedule as needed.

Preferred Qualifications:
Working knowledge of Ellucian Colleague
At least two years of higher education experience.
Experience working in higher education strongly preferred.
Experience in student records management in higher education.
