Office Manager - School of Education

  • Responsibilities:
    Provides assistance to the Assistant Director and/or Director in monitoring, building and reporting of School Of Education faculty assignments, including contractual and budgetary issues related to workload in reference to various personnel lines within the School of Education. and contractual implications associated with hiring and assignment of duties.

    • Establishing and revising the principal(s)' calendar; informing the principal(s) of impending engagements, and prepares necessary materials.
    • Assists the Assistant Director and/or Director in monitoring, building and reporting of School of Education faculty summer assignments and summer budget
    • Researches and prepares reports for the Director.
    • Assists and advises the Director in matters pertaining to department technology and classroom needs
    • Works with the Director in providing the essential management of the department to include providing, obtaining, coordinating, and/or reporting information related to scheduling of multiple committees and subcommittees, equipment and facilities
    • Assists, advises and analyzes budget information for the Director
    • Serves as the recording secretary for department faculty meetings
    • Facilitates the scheduling of designated Horrabin Hall classrooms and facilities
    • Assists the Director, Assistant Director, Program coordinators, and Faculty in the preparation and management of seminars, classes, and conferences relating to various programs in the School of Education
    • Assists the Department Director and/or Assistant Director with the organization and management of grade changes for undergraduate and graduate students
    • In cooperation with the Director and/or Assistant Director, manages and is directly responsible for hiring, training, supervision and budget management for all student assistants
    • In conjunction with the Director, manages the School of Education Office budget
    • In conjunction with the Director, manages and monitors the School of Education Scholarships budget
    • In conjunction with the Director, manages and monitors the Educational Leadership, and Educational and Interdisciplinary Studies Foundation budgets
    • Manages and monitors any grant related budgets for the department
    • In conjunction with the Director, manages the Educational and Interdisciplinary Studies Stores budget
    • Provides assistance to the Assistant Director with the School of Education website
    • Manages departmental needs by ordering and processing purchase order requests
    • Processes and/or authorizes Direct Pay Authorizations, Travel vouchers and other forms related to departmental needs
    • Creates, maintains, and monitors spreadsheet to track faculty salaries to ensure that they do not exceed the bargaining unit regulations and specifications
    • Assists with marketing of the School of Education programs
    • Responsible for maintaining and monitoring the departmental inventory and completing the yearly report required by the Business Office
    • Completes all paperwork necessary for transfer or disposal of departmental inventory and must be familiar with the University policies and regulations on inventory management
    • Prepares and manages book orders for the department
    • Provides effective public relations on behalf of department, college, and university to all individuals having contact with the department
    • Monitors, organizes the School of Education Department student course evaluation system (either online or paper method)
    • Transcribes and/or records confidential or sensitive information
    • Kkeyboards documents containing confidential or sensitive information and signs documents for the Chair as needed and appropriate.
  • Required Qualifications:
    1. High school graduation or equivalent.
    2. Two (2) years (24 months) of work experience comparable to the third level of this series.
