About the Opportunity:
The HR & Budget Coordinator plays a critical role in providing personnel and budgetary support for the School of Law under the direction of the Manager of Finance and Administration at the School of Law. This position manages all personnel actions, including creation of job requisitions and onboarding of staff, faculty, temporary non-students and part-time faculty hires. This position will also manage immigration procedures, time tracking, and serve as a liaison between HRM and the School of Law. The position is also responsible for the financial transactions of the School of Law. These responsibilities include management of the day-to-day financial transactions of the College, including processing expense reimbursements, executing budget transfers, creating journal vouchers. In addition, the position will perform periodic budget reconciliations, and track and report on department budgets. This individual will serve as a liaison to department administrators on financial matters. This role requires a high level of customer service, problem solving, data management, and confidentiality.

Responsibilities:

Budget Administration (30%)
-Responsible for administering and processing the day-to-day financial transactions of the School of Law including payment of invoices, processing expense reimbursements, initiating budget transfers, creating journal vouchers, and processing requisitions.

-Perform periodic budget reconciliation for operational accounts and prepare budget reports for the Manager of Finance and Administration to monitor budget performance and variances.

-Individual will work with department administrators to process contracts

-Individual will serve as a liaison to department administrators on operational financial matters and as divisional contact for the Budget Office, Accounts Payable, the Office of Research and Administration, Office of General Council, treasurer's office, and student employment on fiscal related matters

Personnel Functions (60%)
- Responsible for the administration of the day-to-day human resource transactions at the School of Law including processing all personnel actions in the University systems

-Serves as point of contact and resource for the School of Law on personnel policies and procedures, working closely with Human Resources Management and department administrators to communicate best practices and revised procedures and ensure compliance with all NU procedures and federal or state regulations

-Coordinates the on-boarding and off-boarding process for faculty, staff, part-time faculty, and temporary nonstudents

-Oversees the processing and tracking of payroll transactions for faculty, part time faculty, staff, and temporary non- students. Prepares and distributes annual contracts including part time faculty contracts, yearly merit letters, etc.

-Processes J-1 visa appointments and serves as a SEVIS contact for the School of Law

- Maintains all personnel records for the School of Law

Special Projects (10%):

-From time-to-time, the Manager of Finance and Administration may assign individual to work on special projects and/or initiatives

Qualifications:
A Bachelor's degree is required with two-five years of personnel and /or budget experience, preferably in higher education or a customer service field. Demonstrated computer literacy and proficiency with the Microsoft Office Suite is required. The successful candidate must have strong organizational skills, attention to detail, excellent initiative and follow-through skills, and the ability to work independently and as a member of the team. Excellent written and oral communication is key, along with the ability to work in a busy, sometimes hectic environment. The individual must be comfortable working with a diverse population, learning new software programs and working with data. Individual must exhibit good judgement and discretion while working with confidential information.
