JOB SUMMARY

The College of Liberal Arts and Sciences seeks qualified applicants for a full-time position as a Financial Assistant 1 within the Department of Mathematics. The staff in the Department of Mathematics provides quality professional services to a diverse and thriving community of students and faculty engaged in innovative research and academic excellence. Under the supervision of the Program Manager, the incumbent will process and maintain financial transactions for the Department including purchasing, travel, billing, payroll, conference support, and other disbursements. This position will also be responsible for foundation transactions, RFDs, and other financial or administrative areas assigned by the Program Manager.

DUTIES AND RESPONSIBILITIES
  1. Provides financial, administrative, and program support for the Department.
  2. Scans, organizes, submits, and maintains documents for the Department including purchasing, travel, and other disbursements.
  3. Analyzes and verifies and enters details of transactions such as invoices, requisitions, reimbursements, and other disbursements in accordance with University, college, and departmental policies and procedures.
  4. Verifies and approves payment requests and internal billing documents.
  5. Assists with reviewing and closing purchase orders.
  6. Assists with placing orders and following up with vendors to resolve problems and assure timely delivery.
  7. Assists with managing accounts, including account creation and adjustments as needed.
  8. Responds to and resolves a variety of financial questions and issues.
  9. Sets up new vendors for payments and reimbursements.
  10. Assists with ordering, receiving, and dispensing office supplies.
  11. Provides data to CLAS Business Services Center for budget preparation.
  12. Assists faculty with booking travel, reimbursements, preapprovals, and Travel Cards.
  13. General help in the main office and department.
  14. Performs related administrative and financial duties.

MINIMUM QUALIFICATIONS
  • Bachelor's degree in accounting, finance, business, or related field.
  • Up to one year of related experience.
  • Demonstrated ability to work in a deadline-driven environment.
  • Excellent written and verbal communication and interpersonal skills.
  • Demonstrated customer service skills.
  • Excellent computer skills including experience in MS Office Suite.

PREFERRED QUALIFICATIONS
  • Experience working in a higher education setting.
  • Ability to follow established procedures and compile new ones.
  • Ability to engage, connect, and work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion in an educational setting.

APPOINTMENT TERMS
