Job Summary/Basic Function:
General Description:
Performs advance secretarial and administrative support functions to Lamar University's Associate Vice Presidents, Academic Deans, and the Director of Athletics. Incumbents in this position may be required to use and be familiar with specialized terms, practices or systems.

Essential Job Functions:
Maintains student record database; monitors departmental budgets and expenditures; prepares and distributes various correspondence; responding to emails; typing required forms and reports; answering and screening calls; copying and faxing; coordinating and scheduling meetings and events; greeting visitors; managing calendar; preparing and submitting travel related documents; ordering office supplies; and assisting other staff members. Maintains and monitors departmental budget by analyzing and submitting changes to fiscal year proposed budgets; providing specific line-item budget information; tracking budget index balances for reporting purposes; monitoring the faculty summer payroll budget; submitting budget revisions and requests; monitoring revenue indexes for funds transferred; initiating fiscal year-end requests for funds transfer; monitoring departmental budget to balance accounts and ensure purchases and payments are timely; reviewing invoices and preparing vendor payments for departmental expenditures; and monitoring expenditures in the Banner Finance system to control budget. Provides related support by hiring, training and supervising student workers; and arranging dinners and special events; completing, recording, and monitoring purchase requisitions, and reimbursements; and providing technical/software support and training. Other duties include creating reports for labels and lists, updating employee contact information, preparing book orders, maintaining student records filing system, and completing special projects as assigned.

Education/License Required: Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with a two year associates degree, diploma or equivalent from a college, technical, business, vocational, or correspondence school. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.

Experience Required: Over three years up to and including five years.

Knowledge, Skills & Abilities: Position typically includes work that requires the direction of occasional, non-regular employees, including student assistants, work study students, seasonal employees, interns, and part-time hourly employees.

Work requires contacts with management personnel from other departments, including coordinators, directors, chairpersons, and assistant deans. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

This job title normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion.

This job title requires a comprehensive, practical knowledge of a technical field with use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.

This job title does research for documents, compiles data for computer entry, and/or enters or oversees data entry. Has responsibility for monitoring budget/fiscal expenditures (typically non-discretionary expenditures) for a work unit of less than department size (programs, activities, projects or small organizational units) or responsibility for fiscal management of capital project(s).

Physical Requirements: Sedentary, exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time. Essential functions or requirements listed above may not be performed in every position with this title, and these essential functions may not include all related duties that might be requested and/or performed.
