Job Summary

This position supervises the Daily Operations Coordinator, which is a seasonal (9 month) position that runs August - May of each academic year.

Responsibilities*
Concert Production & Preparation (50%)
  • Independently advance and produce over 120 large ensemble performances and related events by SMTD curricular large ensemble programs.
  • Oversee logistical operations related to performers, scores, music collection, equipment, instruments, venue access, transportation, lighting, sound, recording / broadcasting, security, stage management, set-up and strikes, equipment moves, lobby activities, concert programs, and publicity for concerts and events as required. Liaise with venue staff to ensure safety and operational compliance.
  • Responsible for all preparations and communication pertaining to curricular large ensemble performances, including direct communication with all conducting faculty and the Director of Concerts & Events as well as detailed and consistent updates within a central database of production sheets that informs all staff operations surrounding the large ensembles.
  • Liaise with artist management and/or artist and hosting faculty to ensure logistics involving any guest artists are properly supported, including travel and accommodations, and with the Director for appropriate delegation of support for outside advancements.
  • Serve as lead producer for SMTD Ticketed Events: Grand Night for Singing, Halloween and Band-O-Rama; and assistant producer for the Collage Concert.
  • Serve as member of the Events Committee.

Daily Operations Oversight (20%)
  • Oversee the day-to-day operations of the Ensembles Office, including the direct supervision of the Daily Operations Coordinator.
  • Assist Daily Operations Coordinator with the interpretation of policy, troubleshooting operational issues, and addressing student and faculty feedback regarding curricular rehearsal cycles.
  • Create Fall and Winter term syllabi and guidelines in conjunction with course faculty. Draft web content and request updates to the Ensembles Office webpage for each new term.
  • Manage registration and onsite logistics for Fall and Winter term ensemble placement auditions.

Student Staff Program Management (20%)
  • Serve as the primary hiring agent for the Ensembles Office. Recruit and hire 30-50 student staff annually. Conduct annual orientation to office policies and procedures for both large and chamber ensemble production support.
  • Schedule and supervise student stage crew onsite at rehearsals and concerts, assuring safe work practices and compliance with health, fire, and safety regulations. Monitor all interactions with faculty, students, and the public to ensure high quality service is provided.
  • Train and assign specialized student staffing to support curricular Chamber Music concerts, the Briggs Competition, and related department events. Act as central information hub for curricular Chamber Music events. Liaise with faculty coordinators and prepare student staff for individual events. Be on call for troubleshooting during event times as necessary.
  • Identify and communicate career development opportunities for student staff.

Moving & Trucking: 10%:
  • Serve as the SMTD's primary contact and coordinator for all Moving & Trucking services (excluding Facilities and UPROD).
  • Liaise with Moving & Trucking staff, SMTD Percussion Coordinator, Daily Operations Coordinator, venue operations staff, and related parties to create and disseminate a weekly schedule of equipment moves, continually working to enhance efficiency and minimize overtime costs.
  • Manage the Ensembles Office standing work order and generate non-Ensembles work orders as required.

Required Qualifications*
  • Bachelor's degree, preferred degree in music performance or other arts-related field or equivalent work experience.
  • Minimum three years of related experience.
  • Strong analytical, critical thinking and problem-solving skills. Ability to make independent decisions on matters of significance, free from immediate direction.
  • Proven organizational and time-management skills.
  • Ability to prioritize and handle multiple competing priorities .
  • Strong interpersonal skills and the ability to interact positively with faculty, staff and students and individuals from diverse backgrounds and experiences.
  • Excellent written and oral communication skills.
  • Ability to work nights, weekends and holidays as defined by the Performance & Events Calendar.
  • Routinely moves equipment weighing up to 50 pounds across campus for event needs
  • This position involves traveling to various locations on and off campus to conduct on-site visits as well as to deliver materials.
  • Proficiency with Google Suite. Ability to learn and utilize technology to enhance delivery of services.

Desired Qualifications*
  • Experience in concert production.
  • Reasonable knowledge and understanding of the policies and procedures of a higher education institution.
  • At least one year of experience supervising an entry-level full-time staff position.
  • Experience managing federal work-study and temporary student staff.
  • Proficiency with FileMaker Pro.
