Donor Experience, Events & Materials Coordinator


The University of Notre Dame (ND.jobs) is accepting applications for a Donor Experience, Events & Materials Coordinator.

The Donor Experience team oversees the customer service, donor recognition, and event execution for over 12,000 members of Notre Dame's Giving Societies, including SORIN and the Rockne Heritage Fund. The Events & Materials Coordinator will serve a critical role on Annual Giving's Donor Experience Team by assisting with dozens of Giving Society events throughout the year. The Coordinator will help ensure that our members enjoy a smooth, easy, world-class experience when signing up for and attending our events, while also serving as primary liaison for our contacts in Special Events & Stewardship who handle the bulk of logistics and execution. The Coordinator will also have full ownership of Donor Experience inventory and materials, including letterhead purchases, recognition tokens, event supplies, and management of offsite storage facilities. The ideal candidate has project management experience, exemplary customer service skills and exceptional attention to detail, accountability and ownership, along with experience in working with cross-functional teams. A pro-active work ethic and willingness to go above and beyond to serve our benefactors will be coupled with ideas and creativity to help take our events to the next level.
Duties and Responsibilities:

  • Planning, coordination, and execution of event communications, registration, payment, budget, check-in, staffing, and event supply management. Setting and adhering to communications and planning schedules and providing on-site support for each event, including but not limited to every home football weekend, Commencement, Reunion, Blue & Gold Weekend, Welcome Weekend, and Notre Dame Day.

  • Manage ongoing inventory, planning, and reordering of inventory and materials for the Donor Experience Team, including but not limited to letterhead, recognition tokens, event supplies, and regular organization of the team's offsite storage unit.

  • Supports other Donor Experience Team members with additional capacity for administrative functions. This includes annual membership card mailing, regular reminder mailings, and annual membership audit schedule. Will also take an active role in reaching out to members to renew their annual generosity.

Minimum Qualifications:
  • High School diploma or GED
  • 1 to 2 years of experience
  • Candidate must be self-starting, fully accountable, and excited to take ownership of their work. Project management and data analysis experience is necessary, including the ability to manage multiple priorities and work to deadlines; and evaluate reports containing thousands of data points.
  • Event planning experience is preferred.
  • Customer service skills demand an exemplary ability to interact with diverse constituencies in appropriate, positive ways and to handle sensitive/confidential information properly.
  • Expertise in standard office applications (e.g., Microsoft Office, Google Docs, etc.) including the ability to create and share reports, charts and graphs is required.
  • Familiarity with basic accounting principles and best practices is encouraged. Knowledge of Salesforce, Business Objects, and/or Advance database is a plus.
