Job Summary/Basic Function:
Job Summary:
This position serves as a member of the support staff in the Lamar University Foundation, a division of University Advancement. The individual in the position reports to and will provide complex administrative support to the Foundation Director. This position will be required to use and be familiar with specialized terms, practices and systems.

Essential Job Functions:
1. Serves as the primary receptionist responsible for greeting visitors and answering incoming calls, routing calls to the correct office or Advancement staff member. Provides complex administrative support to the department as assigned by the Foundation Director. 15%
2. Assists with the gift process for the Foundation; ensures gift governing agreements are completed and manage campus distributions; verifying data on batch reports; printing and mailing gift receipts; preparing and mailing acknowledgement cards for memorial and in honor of gifts; and generating reports, as needed for donors. 15%
3. Manage Foundation correspondence on behalf of Director including proper recording in Millennium data base. 10%
4. Receives and manages incoming mail, recording the receipt of donor gifts and Request to Pays. Records all outgoing disbursement checks and prepares same for mailing and on-campus delivery. Coordinates proper management of all outgoing mail. 10%
5. Creates and maintains records and filing systems related to Foundation managed funds and special projects. 10%
6. Manages office supply/equipment inventory including purchases, as needed, with the approval of the Director. 10%
7. Assist Foundation Director with researching donor inquiries concerning gifts and gift documentation. 10%
8. Cross trains as backup for Gift Processing Specialist. 5%
9. Manages and coordinates with appropriate Foundation staff compliance with the Retention & Destruction Policy. 5%
10. Coordinates staff lunch schedules to assure proper office coverage. 5%
11. Works with Foundation Director on additional projects as assigned. 5%

Other duties may be assigned to this position on a regular or occasional basis to respond to needs of the university.

Minimum Qualifications:
Minimum Education Required:
Associates Degree from a regionally accredited organization

Minimum Experience Required:
1 Year of office experience

Key Competencies:
Computer Literacy and knowledge of Microsoft applications
Ability to prioritize tasks, work independently and comply with established deadlines
Strong communication skills, excellent listening and collaborative skills
Ability to manage multiple priorities concurrently

Physical Requirements:
With or without accommodation:
Ability to bend, stoop, reach, stand, move from one area of the building to another on a regular basis, sit and use a computer for a long period of time.
Manual and physical dexterity needed to operate a computer keyboard and handle paper documents.
Sufficient near vision acuity to read information appearing on computer display screen, in hand-written forms, and printed on paper.
Adequate hearing and verbal abilities to communicate effectively in person and by telephone.
Ability to lift and carry items weighing up to 25 pounds.

Job Conditions:
Indoor office environment. May occasionally need to work past 5:00 PM.
