Associate Director of Student Accounts

Job Summary:
The Associate Director of Student Accounts is the lead professional in administering student billing and ensuring coordination and overall customer satisfaction, reporting to the Director of Student Accounts. The Associate Director of Student Accounts will create new and innovative strategies for ensuring effective departmental operations and communications to students, families, and other campus departments. The Associate Director will also supervise the day-to-day operations of the Student Accounts office.

Job Responsibilities
  • Extract, analyze, and reconcile data from a variety of sources.
  • Work with CIPE to develop benchmarking reporting data for account receivables analysis.
  • Provide high level of customer service in a department whose primary function is to interact with individuals and authorized users via phone, in person, and email.
  • Supervise the Student Accounts staff.
  • Schedule and maintain the phone and in-person counter staffing.
  • Manage the completeness and accuracy of cash collections and bank deposits.
  • Testing, administrating and updating of term specific tuition rules and fee assessment.
  • Maintain and oversee yearly 1098-T procedures in compliance of IRS regulations.
  • Provide assistance and guidance to internal and external customers.
  • Provide seamless transfers for students needing assistance in other areas within the Strategic Enrollment Management or elsewhere within the University.
  • Work with SEM communications team to plan for academic year billing cycle, updating email and written communication for new and continuing students.
  • Develop and maintain the Student Accounts calendar documenting important payment deadlines combined with important communication dates for the Student Accounts office.
  • Serve as the liaison to other departments including Financial Aid, Registrar, Admissions, Graduate Enrollment Services and SEM Communications.
  • Reviews the application of student payment, refund, cancellation and other account policies and procedures.
  • Models inclusive excellence through specific actions that support the University's diversity goals in recruitment, hiring and retention of talented and diverse staff.
  • Provide departmental training and updating of Student Accounts reference guide.
  • Assist the Director with other projects as needed.
  • Performs other duties as assigned.


Minimum Requirements
  • Bachelor's degree from a college or University accredited by a US Department of Education or internationally recognized accrediting organization.
  • Minimum of 5 years of student billing, student financial services, or related experience with increasing levels of responsibility.
  • Experience with Banner and/or similar enterprise systems.
  • Communication skills and cross-cultural abilities to maximize their effectiveness with diverse groups of students, colleagues, and community members.
  • Knowledge of sources of financial aid, application to student accounts, and reconciliation of fund balances.
  • Knowledge of application of payments to accounts and internal controls over cash.
  • Knowledge of the processes to invoice and collect payments on accounts from individuals and third parties in a high volume, regulated environment that utilizes a complex student information system.
  • Ability to work with a diverse student/staff population engage in conflict resolution, coordination of interdepartmental projects, deal with outside agencies and auditors.
  • Knowledge of financial aid eligibility and procedures.
  • Excellent organizational and time management skills.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Working knowledge, or ability to quickly learn, university infrastructure, policies, and procedures.
  • Ability to work with a high level of productivity and accuracy/attention to detail.
  • Experience with and demonstrated ability to work with a diverse student body, faculty and staff.
  • Strong equity lens, cultural humility and proven ability to work well in a diverse context.


Preferred Requirements
  • Working knowledge of Banner.
  • Working knowledge of CASHNet payment platform and G5 Department of Education grants management system.
  • Experience working in a unionized environment.

Salary Range :
$85,000.00 annualized; commensurate with experience
