Job Description

At Boston College, the role of Assistant Registrar, Records, is comprised of two functional areas: Core functionality and Auxiliary functionality.

Core Functionality
Records: The Assistant Registrar for Records is responsible for the accuracy of the academic records of approximately 6,000 students in the Morrissey College of Arts and Sciences.

The work of stewarding the academic records for these students includes the review and maintenance of a complex modern IT degree audit solution, reviewing for accuracy and applying approved course requirement substitutions, approving and creating rules for transfer coursework as well as making any other necessary adjustments to student information. Working closely with the Office of Financial to ensure changes follow guidelines for compliance with federal regulation. The Assistant Registrar serves as a resource for students as well, providing guidance on policy and advice as to how to ensure that coursework meets all school, degree, major, minor, and concentration requirements.

Auxiliary Functionality
Forms Management:
Responsible for managing the forms processing for all Registrar related external facing forms. Including tracking of mailing dates.
Diploma reprint Coordinator:
Responsible for the coordination of significant numbers of Diploma reprints and Apostille requests that require Notary signature and timely accurate fulfillment. Point person to work in partnership with an outside vendor for possible electronic diplomas for students.
Work Study Management
Hire and manage three (grad and undergrad) work study students:
Work study students are hired, trained and entrusted with assisting with daily operational activities of the office.
Required training and supervision.
Tester Trainor technical systems:
Participate in defining and testing of academic requirements for the new Eagle Apps student information system along with other newly launched technologies.

In order to execute these responsibilities, candidates should be detail-oriented, possess willingness to learn and adapt to new technologies, confident in ability to represent the Academic Services office across the University, be comfortable training Deans and Department Administrators on policy, procedure and technology solutions. The Assistant Registrar should be prepared to be individually accountable for their work, but also be ready to act as a member of a larger team to assist others when necessary. Flexibility, professionalism, and a can-do attitude will be highly valued. Reports to Associate Registrar for Records/Grading/Commencement.

Full-Time Equivalent Hiring Range: $46,550 to $58,200; salary commensurate with relevant experience.

Note that although this work generally occurs during regular business hours, additional time at work may be required at peak periods throughout the calendar year, including the week prior to commencement in May.

Requirements

A bachelor's degree is required, masters preferred.

Experience working in a higher education environment is recommended.
