Salary:
Anticipated Hiring Salary Range: $3,115 - $3,500 per month

Note: This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.

Organizational Description:
The Jordan College of Agricultural Sciences and Technology offers high quality undergraduate, graduate and continuing education programs in the major areas of agricultural business; animal sciences and agricultural education; child and family science; food science and nutrition; industrial technology; plant science; and viticulture and enology. Programs combine a science, technology and management focus with experiential learning. The University Agricultural Laboratory is a 1,000 acre diversified, working farm that provides real-life learning opportunities for students and research opportunities for faculty and staff. The College also supports an array of vibrant research endeavors. A major campus-based program operates under the California Agricultural Technology Institute (CATI). The institute is dedicated to improving the economic efficiency, productivity and profitability of California agriculture and its allied industries. The Institute is comprised of three research centers: Institute for Food and Agriculture, Viticulture and Enology Research Center, and the Center for Irrigation Technology. The Jordan College is currently recruiting for an Administrative Support Coordinator II for the Center for Irrigation Technology

  • The Center for Irrigation Technology- provides an independent research and testing facility to assist designers, manufacturers and users of irrigation equipment in making the technological advances needed to keep pace with a growing, changing agricultural industry.

    Since 1980, the Center for Irrigation Technology (CIT) has been the leading independent testing laboratory and applied research facility for the irrigation industry. With state-of-the-art indoor and outdoor testing facilities, CIT works with the public and private sector to advance irrigation technology, water/energy management practices, and equipment standards. All activities reflect the need to integrate agricultural, environmental, and urban concerns.

    The Center for Irrigation Technology at Fresno State:
  • functions as an independent testing laboratory, applied research facility, and educational resource to both public and private sectors.

    Overview:
    Under general direction of the Director of the Center for Irrigation Technology, this position supports the Director in the day-to-day administration of the office, testing, and research programs. This position will perform a variety of administrative and clerical duties and is also responsible for the financial reporting, budgeting/forecasting and reconciliation of accounts under the center and Director. Additionally, responsibilities include overseeing the day-to-day administrative operations of the center's programs and providing required support for faculty, staff and students.

    Position Summary:
  • Provide support to the CIT Director in accomplishing overall center goals and objectives
  • Provide administrative and analytical support to the Director as well as Principal Investigators of grants and research projects.
  • Maintain Director's calendar as requested and use discretion in prioritizing appointments and schedule
  • Determine and coordinate preparation of background materials needed for meetings, reports and activities; draft correspondence as requested
  • Provide support to the Director with special projects such as reports, policies/procedures/project meetings, and workflow process improvements
  • Develop and maintain a budget development and reporting system to track multiple State and Foundation accounts, industry-funded endowments, grants and administrative and research assistantships
  • Develop and maintain a detailed in-house tracking system for center research and grant proposals and project status
  • Coordinate financial reporting and tracking of multiple center project/research accounts, administrative accounts, trust accounts, grant and contract accounts, industry endowment funds and agreements and numerous industry-funded student research and administrative assistantships and agreements
  • Provide support to the Director, Principal Investigators, Foundation, and center staff in post-award administration of the center's grants/contracts to ensure budget/financial and reporting compliance with funding guidelines
  • Coordinate day-to-day program/organizational/travel arrangements and unit operations for the Director, staff, faculty, and students, as needed
  • Prepare or oversee accurate preparation of State and Foundation financial and/or accounting documents such as purchase requisitions, direct pays, payment authorizations, service agreements, travel applications, claims, payroll documents, deposits, project information forms, GRT's and gift-in-kind forms, etc. for center related activities
  • Manage the hiring, payroll processes and termination of staff, including center student administrative and research assistants, etc.
  • Provide documentation as necessary for effort reporting and/or annual audit support as needed
  • Serve as a point of contact for center administrative and financial transactions with the Jordan College Office of the Dean, and the State and Foundation administrative and accounting offices.

    Knowledge, Skills and Abilities:
  • Experience in a university, academic or research institution
  • Thorough mastery of English grammar, punctuation, and spelling
  • Understanding of basic budgeting and financial grant management
  • Expertise in using office software packages, technology, and systems (Microsoft Office Suite, email, calendar, etc.)
  • Working knowledge of budget policies and procedures
  • Thorough knowledge of office systems and ability to use a broad range of technology, systems, and packages
  • Valid driver's license in good standing and safe driving record

    Education and Experience:
  • Completion of a high school program, technical/vocational program, or their equivalents
  • Four years of related office work experience

    Preferred Skills:
  • Experience to be fully functional in all technical aspects of work assignments including personnel, payroll, budget and accounting
  • Must be able to work in an up-tempo environment, meet hard deadlines and keep updated on policy requirements.
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures, particularly as they relate to fiscal management
  • Experience working with research grants, contracts and programs such as the CSU Agricultural Research Institute (ARI) program, and ability to stay updated on the latest application procedures
  • Thorough knowledge of University and Fresno State Foundation accounting systems including Peoplesoft, Data Warehouse, JD Edwards, and QuickBooks
  • Exceptional organization and time management skills with attention to detail and data accuracy
  • Strong leadership, organizational and customer service skills
  • Knowledge or experience with production agriculture
