JOB SUMMARY

Under the direction of the Travel and Card Services Manager, the Administrative Program Support 2 is responsible for reviewing, reconciling, and reporting for all travel, travel card, and University Pro-Card activities.

DUTIES AND RESPONSIBILITIES
  • Reviews and approves Company Billed Statements (CBS financial reports) and addresses issues when necessary.
  • Monitors daily Pro-Card activity, addressing issues that arise that are noncompliant with University policies; reviews with the department to educate cardholders and ensure corrective measures are taken to adhere to policies going forward.
  • Performs Pro-Card audits to review transactions of end users to ensure compliance with University policies.
  • Serves as a resource to staff, faculty, and others on matters relating to administrative procedures and on matters relating to the Pro-Card and Travel Card.
  • Reviews records and data for accuracy, reconciles differences, and works with other staff and University offices to identify errors and make corrections.
  • Provides training, instructional documentation, and/or gives presentations to the University community including the regional campuses; maintains up-to-date knowledge and integrates best practices for University compliance requirements.
  • Devises, modifies, and/or supervises the updating, maintenance, and coordination of complex spreadsheets, records, and/or data systems that may be computerized.
  • Monitors unit email inbox daily and responds to end-users and University customer inquiries in a timely manner.
  • Prepares narrative and informational reports, as needed or requested; compiles and organizes information requiring the understanding and evaluation of data sources, which may include special projects or extensive reports to meet University, State, Federal, and Department/division requirements.
  • Responds to requests for information and provides assistance in solving a wide variety of problems, some of which are new and unusual and require interpretation, judgment, and initiative. Refers unusual or difficult problems to the supervisor.
  • Stays abreast of changes to University policies and procedures and provides education and outreach in regard to policies.

MINIMUM QUALIFICATIONS
  1. Six years of related experience and training OR a bachelor's degree in a related field and two (2) or more years of related experience OR an associate degree and four (4) or more years of related experience.
  2. Excellent written and oral communication, organization, and interpersonal skills.
  3. Ability to build and maintain good customer relationships.
  4. Knowledge of and ability to interpret State, Federal, and University policies and procedures.
  5. Experience with computers and Microsoft Office Suite (including Excel, Access, and PowerPoint).
  6. Ability to work independently to analyze available information, draw conclusions and understandings, and present such conclusions effectively to senior management.

PREFERRED QUALIFICATIONS
  1. Bachelor's degree.
  2. Experience with the Jaggaer eProcurement system, Kuali Financial System, or similar electronic purchasing systems.
  3. Strong accounting skills with experience monitoring and reconciling financial accounts/reports.
  4. Knowledge of Concur and University Procurement Card and Travel Card policies, procedures, and regulations.
  5. Experience performing purchasing, accounts payable, travel, and related compliance functions.
  6. Experience working in higher education and/or similar environment.

APPOINTMENT TERMS

This is a full-time position, working Monday-Friday, 8:30 a.m. to 4:30 p.m., at the Storrs campus but may require travel to other regional campuses as needed. The salary will be determined based on the successful candidate's experience and training. Department may be able to accommodate a remote or hybrid telecommuting work schedule subject to authorization and University policy.
