Job Description
The Administrative Associate III provides complex administrative support to the Enrollment Management Division which includes (the Offices of the Registrar, Admissions, Strategic Enrollment Initiatives, Office of Student Financial Aid & Scholarships, K-12 Partnerships and Student Recruitment). Works under general supervision and provides complex administrative support work. Responsibilities:
  • Provides complex administrative support for the Office of Financial Aid and Scholarships, including, but not limited to, monitoring departmental mail and emails; arranging meetings, appointments, conferences and travel for the respective departments; records minutes of staff meetings; maintenance of departments files and records; may deliver, pick up, or receive cash payments; and assisting with development and maintenance of departmental intranet spaces and website, as necessary.
  • Serves as the departmental Workday EM coordinator and assists director(s) with all personnel actions in Workday. Departmental contact responsible for inventory. Reconciles office inventory of equipment in collaboration with the Business Manager.
  • Serves as the departmental contact for purchasing for the respective offices of responsibility, includes maintaining office supplies and equipment.
  • Greets visitors, answers and screen calls, provides information and referrals, and schedules appointments. Acts as a liaison between the respective offices of responsibility and other administrative offices and external constituents.
  • Maintains notes in order to brief the Director(s) on the status or outcomes of external communications.
  • Maintains calendar of appointments; coordinates and makes travel arrangements for the respective Director(s). Manages general and confidential correspondence and reports as required of internal and external entities. Performs word processing, desktop publishing and presentations as needed. Assists with fiscal management of office operational funding.
  • Coordinates activities and assigns work to student workers.
  • May participate in the hiring, training, and supervision of student workers.
Required Education and Experience:
  • High school diploma or equivalent combination of education and experience.
  • Three years of related experience.
