Job Description

The Administrative Assistant to the Vice President provides administrative support to the Vice President for Development. Support includes the management of calendars, fielding and returning of phone calls, drafting correspondence, processing of expenses, the running of reports, and evaluation of data using a variety of systems/platforms.

The Administrative Assistant to the Vice President is responsible for the creation and implementation of an onboarding curriculum for all new administrative staff in the Development unit and, in collaboration with the Vice President and others, for generating and updating the onboarding materials for all Development-related materials for all staff. The Assistant will hold quarterly meetings or other forums for administrative staff in the Development unit through which best practices will be shared.

The Administrative Assistant to the Vice President is also responsible for creating, proofing, and distributing materials for meetings led by the Vice President and often involving other members of the University's senior administration and trustees. The Assistant also manages the agenda for the regularly scheduled meetings of both the Development leadership team and overall staff and is responsible for their timely follow-up, including the distribution of meeting minutes.

The Administrative Assistant to the Vice President will be a key contributor to the Fundraising Resource Hub, ensuring that its content is kept both up to date and relevant to the University's fundraising practices and priorities.

The Administrative Assistant will collaborate regularly with staff in the office of the Senior Vice President for University Advancement as well as the offices of other vice presidents and associate vice presidents across University Advancement and Boston College more broadly. Full-Time Equivalent Hiring Range: $46,550 to $58,200; salary commensurate with relevant experience.

This position requires 3-5 years of increasingly responsible administrative experience in a professional setting; strong interpersonal and organizational skills with attention to detail and accuracy; excellent oral and written communications skills including effective phone communication skills; accurate typing skills; a working knowledge of Google Suite and Windows PC, including Microsoft Office, and familiarity with Customer Relationship Management databases; exceptional proofreading; strong attention to detail; a commitment to accuracy; and very adept at handling multiple tasks and working well within deadlines. Also requires good judgment, discretion in handling confidential materials, ability to work independently without close supervision, and flexibility to work beyond the regular hours of the workday when necessary. Candidate must possess solid knowledge of grammar and punctuation.

Requires a high school diploma, bachelor's degree preferred. Candidates should be highly motivated to work in a fast-paced environment that will require some night and evening work. Must be a team player who is highly motivated and dedicated to the goals of advancing higher education and have an appreciation for Jesuit Catholic education and the goals and values of Boston College.
