About the Opportunity:
The Administrative Assistant provides executive level administrative support to the Vice President for Communications. The Administrative Assistant strategically schedules meetings for the Vice President for Communications and maintains a busy executive calendar. This individual arranges the travel schedule and reservations, completes all expense reports, and screens calls, occasionally routing calls to other university leaders. This position falls within the division of External Affairs, which includes university Marketing, Communications, and Government Relations. The Administrative Assistant works cooperatively and effectively with colleagues.

Responsibilities:
He/she also assists the Vice President for Communications with a great variety of projects related to all aspects of Communications strategy and execution. Tasks also include helping with the planning and execution of departmental events.

This is a fast-paced environment that requires a lot of multi-tasking, self-motivation and interpersonal skills. The ability to remain calm and professional is very important.

The Administrative Assistant must be extremely organized and able to follow through on assignments without being prompted. He/she must be reliable, prompt, punctual and able to multitask and meet deadlines. Excellent written and verbal communication skills are critically important. He/she also needs to exercise excellent judgement, discretion and understand confidentiality as it relates to projects and relevant interactions with various stakeholder groups.

This position also has frequent contact with external groups and agencies as well as internal departments.

He/she may occasionally be asked to help with various administrative tasks for the department of External Affairs, including helping the Senior Vice President for External Affairs with various tasks, including scheduling.

Qualifications:
Associate's degree (Bachelor's degree strongly preferred) and a minimum of 3-5 years experience, preferably in an executive setting.

Must have strong organizational, communication (both verbal and written), and interpersonal skills. Must be detail-oriented, able to perform a variety of tasks, able to work with confidential information, and prioritize tasks and demands.

Must be able to multitask and meet deadlines in a fast-paced environment

Must be able to work and make decisions independently and exercise discretion and judgment in areas of responsibility. Must be able to communicate professionally and effectively on behalf of the Vice President for Communications.

Must be proactive and vigilant, in regards to the Vice President for Communications's schedule.

The ideal candidate is goal-oriented with a positive attitude, willing to create and revise systems and procedures according to the needs of the Vice President for Communications.

Must possess basic editorial and research skills, particularly the ability to skillfully complete projects under tight deadlines. Must have experience and be comfortable with Microsoft Office applications - advanced PowerPoint skills are ideal.

The Communications department is extremely busy and requires an individual with proven experience in handling confidential materials, multitasking, and handling sensitive situations in a calm, thoughtful, and professional manner. Interest in the field of communications/news/PR is preferred, but not required.

A great sense of humor is a plus.
