Job Summary/Basic Function:
General Description:
Incumbents in this position perform secretarial and administrative support functions in a department or work unit ensuring efficient daily departmental operations, and the management of student staff. Incumbents may be required to use and be familiar with specialized terms, practices or systems.

Essential Job Functions:
Receives and routes departmental phone calls, handles walk-ins, provides clerical assistance to include typing, printing, copying and faxing, maintaining databases, and distributing mail. Other duties include organizing department filing system, keeping records and spreadsheets, hiring, scheduling and disciplining student workers, and coordinating special events and special projects as assigned. Provide accurate customer service to University personnel and general public. Prepares and processes a variety of correspondence; formats and proofreads documents; corrects grammatical, punctuation and spelling errors. Organizes, establishes and maintains filing system for correspondence, records, documents, lectures and publications. Prepares paperwork related to specialized function of department or work unit. Researches, summarizes and analyzes information; may compile data; and schedules appointments as directed. Prepares requisitions for the purchase of equipment and office supplies within purchasing guidelines; records and tracks expenditures. Summarizes information from various resources; prepares a variety of reports; compiles data and prepares periodic reports. Arranges for travel of department or unit staff; submits vouchers and receipts for reimbursement.

Education/License Required:
Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge is equivalent to four years of high school or equivalency.

Experience Required: Over one year up to and including three years.

Knowledge, Skills & Abilities:
Position typically includes work that requires the direction of occasional, non-regular employees, including student assistants, work study students, seasonal employees, interns, and part-time hourly employees.

Work requires contacts with coworkers from other organizational units of the College, primarily non-department heads, and students, vendors, and the general public. Resourcefulness is required to reach or adjust working agreements within departmental procedures and operating needs. Tact and judgment are requirements in obtaining or giving information of a confidential nature.

This position normally performs the job by following established standard operating procedures and/or policies. There is a choice of the appropriate procedure or policy to apply to duties. Performance reviewed periodically.

This position requires a comprehensive, practical knowledge of a technical field with use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.

This position does research for documents, compiles data for computer entry, and/or enters or oversees data entry. Has responsibility for monitoring budget/fiscal expenditures (typically non-discretionary expenditures) for a work unit of less than department size (programs, activities, projects or small organizational units) or responsibility for fiscal management of capital project(s).

Physical Requirements: Sedentary, exerting up to 10 pounds occasionally or negligible weights frequently; sitting most of the time.
