Administrative Assistant


The University of Notre Dame (ND.jobs) is accepting applications for a Administrative Assistant.

Applications will be accepted until 10/3/2017.

The Administrative Assistant provides support to senior administrators, including the Director of Financial Aid, Associate Directors of Financial Aid, Director of Student Accounts and the Program Director of Shared Services. The position performs a diverse set of administrative and project management duties including, but not limited to:
1) Plan and coordinate meetings as requested by senior staff. Record minutes as requested.
2) Manage the calendars for all senior administrators, which requires decision-making to prioritize numerous requests.
3) Support Director of Financial Aid in managing all internal and external committee arrangements and communications. Complete special projects as assigned.
4) Write responses to emails and other correspondence as requested by senior administrators.
5) Support travel planning and reimbursement for all administrative staff. Assist with the management and review of Financial Aid and Student Accounts operations budget using Excel reporting. Prepare annual budget research for conferences and other major expenditures. Manage payment of invoices to ensure on-time payments. Track actual expenditures to projected amounts and inform directors of under or over spending.
6) Prepare documents for public distribution. The documents will support annual application process, scholarship administration and stewardship, loan administration.
7) Provide support to associate director for scholarship stewardship, training and data requests from development staff. In addition, provide support to federal loan program which includes scheduling of campus-wide exit counseling, mandatory correspondence at student separation, and creation of student debt letter as required by the state of Indiana, etc.

Minimum Qualifications:
Bachelors degree required 3-4 years experience Strong written and verbal communication, interpersonal, and customer-service skills. Excellent organizational and time-management skills to establish priorities and complete assigned tasks within established time frames. Ability to work well with diverse populations. Ability to work with Microsoft Office, Adobe Professional and Reader, and enterprise software such as Banner, OnBase, etc.
