Job Summary
Kellogg Operating Rooms/PACU is seeking a compassionate, enthusiastic, and self-driven Administrative Assistant to provide operational support to our unit. This individual will share our priorities which include: high quality medical care, excellent customer service, safety of staff and patients, efficiency, employee satisfaction, stewardship of resources and the ideal experience for our patients, families and employees.

Responsibilities*
Administrative Duties
  • Payroll
  • Prepare reports for CND, Supervisors and Medical Director
  • Process new position postings and coordinate hiring process
  • Process salary adjustments, reclassifications and FTE changes
  • Maintain employee blue folders
  • Manage evaluations for supervisors/CND
  • Maintain Outlook e-mail groups
  • Manage calendars for CND and Supervisors
  • Prepare meeting agendas
  • Taking Meeting minutes
  • Supply chain- order uniforms; other misc items
  • Reconcile department p-cards using Concur
  • Reconcile Staff education funds using Concur
  • Report & track building maintenance issues
  • Assist nurse supervisors with RN schedules using Onestaff
  • Develop and update center tools and resources
  • staff and phone lists
  • emergency preparedness and fire safety
  • pagers
  • Plan and coordinate employee satisfaction events
  • Maintain skills to back up clerical team: OR scheduling, Billing, front desk check in.
  • Special Projects as assigned

Required Qualifications*
  • High School Diploma and 2-4 years of work experience
  • Experience with OR scheduling/billing
  • Outstanding organizational skills with the ability to prioritize multiple tasks with competing deadlines.
  • Ability to do exceptional tracking, problem solving, paying attention to details and providing excellent and timely follow-up.
  • Proficiency in Microsoft Office software, as well as other database, e-mail and calendar-keeping software.
  • Strong interpersonal skills and ability to successfully work with all levels of staff.
  • Must possess demonstrated ability to take initiative, work independently, prioritize, manage multiple assignments, and follow through on job responsibilities.
  • Demonstrates ability to collaborate with others in a team environment, display leadership through problem solving and the initiative to advance knowledge
  • Ability to exercise a high level of initiative, discretion and judgment regarding sensitive and confidential matters

Desired Qualifications*
  • Demonstrated ability to work effectively with individuals and groups from a variety of identities, culture, backgrounds, ideologies, including personal and social identities
  • Knowledge of MM policies/procedures
  • Michart experience: OR scheduling/Billing

Work Schedule
Day shift; 8hrs, M-F
