Job Description

The Administrative Assistant is responsible for providing support to the Executive Director and Director of Advancement Communications & Marketing, including managing their schedules, travel, communications, correspondence and interaction with University officials, alumni and staff. This position supports donor and high-end engagement events, working closely with colleagues in Marketing & Communications, Programs & Events, and Stewardship. It also interacts with members of the fundraising and alumni relations units and oversees management of student employees, including assisting with their hire, training, and work schedules. Other specific duties include supporting acknowledgements, impact reports, donor newsletters, and websites; reconciling purchases and invoices from vendors; supporting account managers in their use of social media; and writing, editing, and proofreading key marketing deliverables as needed.

The Administrative Assistant will have the discretion to work independently utilizing time management and prioritizing where necessary to administer the overall workflow and administrative activities for the office as well as communicate with internal and external constituencies. The Administrative Assistant has the authority to clarify issues with external vendors, and to purchase supplies with various vendors as needed. Serves as one of the point people for high profile events to secure social media photos for publications and social media postings.

Full-Time Equivalent Hiring Range: $40,300 to $50,400; salary commensurate with relevant experience.



Requirements

This position requires a high school diploma, bachelor's degree preferred, and two to three years of increasingly responsible administrative assistant experience in effectively managing executive schedules, experienced in communicating and interacting with high-level constituents in person, by email and by telephone exhibiting excellent spoken, written and non-verbal communication skills.

Excellent interpersonal and organizational skills with good attention to detail and accuracy; excellent oral, written and public communication skills including effective phone communication skills; and an ability to handle multiple tasks and work well within deadlines; excellent judgment, discretion with confidential materials and a customer service orientation; a working knowledge of Google Suite and Windows PC including Microsoft Office, and familiarity with Customer Relationship Management databases; and exceptional proofreading. Must be a team player who is highly motivated and dedicated to the goals of advancing higher education and have an appreciation for Jesuit Catholic education and the goals and values of Boston College.
