Job Summary / Basic Function
Job Summary: Provides routine, advanced, and specialized administrative and technical support to the Workforce Education department. Work involves establishing goals and objectives; developing guidelines, procedures, and rules; developing schedules, priorities, and standards for achieving established goals; and coordinating and evaluating program activities.
Major Essential Job Functions:
Sets-up and maintains all records concerning continuing education classes and customized training for business and industries making sure all the rules and regulations are followed for local and state auditing purposes:
Assists in preparing quarterly reports that will generate contact hour funding for LIT and submits them to the Executive Associate quarterly
Performs tasks/duties related with Students Admission, Registrar, Cashier, and Record retention in the Xendirect Registration system which requires a high security access.
Prepares invoices and follows up on all Workforce Education accounts on payments.
Develops, coordinates, and maintains record filing systems.
Screens calls and visitors, referring them to the correct staff member or department that can better meet their needs.
This department is responsible for all continuing education courses/programs for the Lamar Institute of Technology (LIT). Handles highly confidential documentation and keeps it secure at all times. Courses and documentation could be audited by internal or external agencies at any moment.
This position involves designing/preparing marketing tools, disseminating information, maintaining confidential records and securing filing systems.
Prepares customized certificates of completion for all continuing education and customized business and industry courses
Prepares payroll documentation for instructors, student assistants, etc.
Schedules classrooms and labs for training courses.
Secondary Essential Job Functions:
Researches, compiles, develops, reproduces, and distributes department publications for marketing purposes using various word processing and publishing software.
Creates, maintains & updates databases for marketing and mail-out purposes.
Organizes and makes arrangements for meetings, seminars, training and luncheons.
Prepares, edits, and distributes correspondence, reports, studies, forms, and documents.
Prepares, edits, and distributes agreements for third party contracts.
Takes, transcribes, and disseminates meeting minutes
Reviews and routes mail.
Other duties as assigned.
Other Duties as Assigned: Other duties may be assigned to this position on a regular or occasional basis to respond to needs of the Institute.
Minimum Qualifications
Minimum Education Required: Associate Degree in Office Administration or graduation from a standard senior high school or equivalent plus 2-years experience in administrative support work. Experience and education may be substituted for one another.
Minimum Experience Required: Advanced skills in Microsoft Office Suite and other related software applications.
