Job Summary/Basic Function:
Job Summary: The Administrative Associate Sr. is a full-time staff position responsible for administrative tasks and overseeing the daily functions of the Undergraduate Advising Center. This position reports to the Director of the Undergraduate Advising Center (UAC) and works collaboratively with UAC staff to meet the advising needs of Lamar University students. The Administrative Associate Sr. must be able to deal professionally and effectively with students, faculty, staff and the public.

Duties and Responsibilities:
  • Oversee front desk processes to ensure students are directed to appropriate advising resources and services. Utilize Banner to verify student information, records and holds to best determine their needs and readiness for advising appointments. Schedule appointments for students through SSC Campus. Answer general and procedure-related questions from students.
  • Provide high quality customer service to visitors and ensure that the office is running properly and efficiently. Manage a multi-line telephone system and departmental email account carefully screening and handling calls/emails. Assist with training and supervision of student assistants in their role at the front desk.
  • Prepare and distribute routine and confidential correspondence, emails, and reports. Complete and process university forms, department memos, minutes of meetings and other documents relating to the UAC.
  • Maintain, organize, and submit budgetary and personnel documents in a timely manner. Purchase and maintain office supplies and equipment; prepare and process purchase requisitions and work orders. Prepare and submit travel documents and expense reports.
  • Arrange meetings as needed by the UAC Director and other advising staff.
  • Ensure all employee and student records are kept secured and confidential in accordance with FERPA and the University's privacy policy.
  • Maintain a working knowledge of applicable university policies and regulations.
  • Perform other duties as assigned.

    Minimum Qualifications:
    Minimum Qualifications:
    High school diploma or GED.
    Over 3 years of experience as administrative support staff.
    Attention to detail and ability to organize and handle many tasks simultaneously.
    Strong interpersonal skills and the ability to handle confidential matters professionally.
    Excellent written and verbal communication skills including active listening and the ability to present information clearly and professionally.
    Proficient in the use of office computers and related software (MS Word, Excel, Access, PowerPoint, Publisher, Outlook) with the ability to learn new software.

    Preferred Qualifications:
    Preferred Qualifications:
    Associates Degree or higher.
    Experience working in higher education and/or with student support.
    Knowledge of student information systems such as Banner.
